Come thrive with us at EPOCH Senior Living’s Corporate office location in Waltham, MA. We are now hiring a Full-time Payroll Coordinator to join our corporate payroll team at our exclusive Senior Living organization. This position is on-site in Waltham 5 days per week.
The Payroll Coordinator is responsible for supporting accurate, timely, and compliant payroll operations for assigned communities. This role reviews and reconciles timekeeping data, prepares payroll adjustments, maintains employee payroll records, supports new hire on-boarding, processes employee changes and terminations, coordinates check distribution, and responds to payroll-related inquiries. The Payroll Coordinator helps maintain confidentiality, data integrity, audit readiness, and compliance with federal, state, local, and company payroll requirements while partnering with Human Resources, community managers, and corporate leadership to resolve issues and support consistent payroll processes across the organization.

Responsibilities:
- Promote and uphold EPOCH Senior Living’s vision, mission, and values
- Prepare, review, reconcile, and process accurate, timely payroll for assigned communities, including multi-state, weekly and biweekly payroll, adjustments, and termination checks
- Review timesheets and timekeeping records for accuracy, completeness, and compliance before payroll submission
- Research and resolve payroll discrepancies, complex payroll issues, and employee inquiries promptly and professionally
- Maintain accurate employee, HRIS, and payroll records while protecting confidential information
- Enter new hires into required systems, verify, and file or upload related documentation
- Coordinate payroll-related distributions and payments, including checks, child support, wage garnishments, and tax levies
- Prepare and submit certified payroll reports, employment verifications, and organization-wide payroll compliance reports as needed
- Support audit readiness by managing HRIS, payroll, and external audit requests, conducting data audits, running rosters; and analyzing data integrity
- Monitor HRIS data entry and support integrations, implementations, and process improvements
- Develop and maintain payroll standards that promote accurate processing, reporting, compliance, and consistency
- Support the payroll team while building collaborative relationships with Payroll, Human Resources, and community leaders
Qualifications:
- Must have a minimum of 3+ years of direct payroll experience
- Experience with payroll, HRIS, time/labor, accounting, and related software systems. Prior knowledge of ADP Workforce Now preferred
- Proficiency with Microsoft Office, including Outlook, Word, and Excel
- Working knowledge of federal and state employment, payroll, wage and hour, and leave laws, including FMLA, PFML, ACA, and FLSA
- Ability to maintain accurate, timely documentation and uphold confidentiality in all payroll and employee matters
- Ability to travel as needed
- Exceptional attention to detail, organization, accuracy, and follow-through
- Ability to manage multiple projects, priorities, and time-sensitive deadlines in a fast-paced environment
- Strong analytical, problem-solving, and critical-thinking abilities
- Collaborative, professional, and service-oriented approach when working with employees, leaders, and cross-functional partners
- Flexibility, initiative, and the ability to self-direct work efficiently
- Demonstrate excellent time management and efficiency in meeting established deadlines
