Job Description
WMS Aquatics is currently seeking a highly organized individual with exceptional attention to detail and a strong aptitude for time management to fill our Operations Assistant role. The Operations Assistant will assist the VP of Operations in overseeing the daily operations of the organization to ensure goals and objectives are achieved, while providing support to all departments through collaborative work with department team members and managers, utilizing solution-oriented, innovative thinking, while upholding the company Mission Statement and contributing to the upward growth of the company.
Work Schedule:
Monday–Friday, 7:00 a.m. to 4:00 p.m., with an unpaid lunch break from 12:00 p.m. to 1:00 p.m.
General Responsibilities:
- Monitor personal and departmental company email accounts.
- Serve as back-up support to all departments in answering incoming phone calls.
- Anticipate and fulfill office product and building supply needs.
- Monitor building maintenance and management needs—coordinate with building landlord and any applicable vendors for services.
- Perform other related duties, as assigned.
Shipping Department:
- Responsible for the daily management and oversight of all areas related to shipping and receiving.
- Track and manage all orders/PO’s, using established Excel spreadsheet tracking system.
- Communicate order updates and tracking information to customers.
- Carefully and accurately maintain shipping records for all applicable scenarios, including Sales packets, Service jobs, Construction job binders, product returns, etc.
- Maintain Excel spreadsheet database of shipment data to ensure that customer orders are updated and that appropriate billing documents are provided to accounting or other associated departments, as required.
- Pursue resolution swiftly when problems arise while shipments are in transit.
- Receive all inbound shipments, verify quantity and condition, allocate as needed.
- Follow specific labeling and notifications of inbound shipments for Service/Construction jobs.
- Prepare and ship all outbound inventory orders, including Ground, LTL, Courier, and WMS Delivery.
- Advise Sales Reps on “Best Way” shipping practice for any given scenario, as needed.
- Provide Sales Reps shipping estimates, as requested.
- Facilitate and/or file freight claims, as needed.
- Responsible for training new hires and entry-level Sales Reps on the Tracking System, as part of their onboarding process.
- Perform other related duties, as assigned.
The Operations Assistant will also be asked to support, in a limited capacity, the Human Resources, Technology & Software Systems, Construction Administration Support, and Marketing & Advertising sectors of the company.
Required Skills & Abilities

- Proficient with Microsoft Office Suite, CRM Systems, or related software as needed.
Education & Experience
- High school diploma or equivalent required.
- One year of related experience required.
Physical Requirements
- Prolonged periods performing computer work, with a sit-to-stand desk.
- Must be able to lift up to 60 pounds at times.
