Reports To: Office Manager
Job Requirements: Completion of High School or equivalent. Ability to type. Knowledge of medical terminology. Computer knowledge. Minimum 2 years experience in a medical office. Ability to handle multiple phone lines and job tasks at once. Knowledge of medical insurance and referrals. Ability to work in a high stress atmosphere. Ability to work in a high stress atmosphere. Ability to work well with the public. Experience in telephone communications. This includes courteous conversation with all patients. Assist with incoming calls as needed, answering the phone by the third ring. Ability to enter messages correctly in a log and distribute to the proper person.
General Duties:
- Answers ALL voice mails and messages on 8x8 and directs them appropriately (this includes insurance companies and pharmacies)
- Call specialty pharmacies to get updates on referrals
- Responds to any emails or tasks received on a daily basis
- Responsible for the cleaning of the patient rooms * this includes cleaning the patient chair and counters in each room
- Responsible for calling patients when pathology report is back
- Responsible for taking inventory of medical supplies and re-ordering when necessary. Back up
- Responsible for changing red bags and sharp containers as necessary in exam rooms. Make sure sharp containers are NEVER full
- Responsible for Prior authorizations for your provider
- Welcome patients to the office pleasantly and call them into the exam room
- Retrieve incoming faxes throughout the day and fill out and send what is necessary and required
- Shadow in patient room when necessary for residents
- Assign Patient in EMR biopsy performed (daily task)
- Meet and greet with pharmaceutical representatives to get updated status on coverage or information on specialty pharmacy
Medical Assistant Duties:
- Sterilize instruments and clean instruments daily
- Pick up instruments from trays in rooms at the end of the day in order to sterilize and scrub them
- Responsible for the stocking of the rooms
- Responsible for keeping the light box room clean and tidy. CLEAN LIGHT BOX UNIT AT THE END OF EACH DAY AND AFTER EACH PATIENT TREATMENT (backup)
- Responsible for maintaining the light box and ensure it is functioning correctly at all times (light bulbs are all working and machine is functioning correctly) (backup)
- Responsible for educating patients about light box treatments (do’s and don’ts)
- Responsible for monitoring and ensuring light therapy treatments are being adjusted and given at the correct dosing
- Responsible for end of the month inventory
- Responsible for ordering lab requisition forms, biopsy bottles, baggies and lab supply as needed (backup)
- drawing anesthesia syringes for exam rooms
- Responsible for calling patients into the exam rooms, take history, fill out requisition form, take blood pressure (if required) and set up the room for any necessary procedure
- Back up for Olga, and Caro when out of the office (this includes the call backs & faxes)
- Responsible for Laser treatments
- Responsible for UVB treatments
- Responsible for keeping all providers biopsy log in order (when necessary)
- Responsible for keeping the sample cabinet in order
- Responsible for calling any patients with a positive biopsy result
- Maintain document racks in the exam rooms
- Retrieve all biopsy results for providers and document into biopsy log
- Inject patients with biologics who do not wish to self-inject ( back up for Elsa)
- Medical Assistant is to perform wound care and suture removal when needed
- Responsible for keeping supply closet in order
- All MA’s are responsible for the putting specimens in corresponding boxes at the end of the day
- Inform patients of biopsy results and depending on the Dr’s recommendation, MA’s are responsible to act upon it and contact the patient
- Send out the patient’s prescription
- Responsible for registering patients with the Ipledge program and educating the patient about the program and the monthly surveys
- Responsible for registering patients into STEPS program, educate them about the and the monthly surveys
- Perform autoclave cleaning
- Required to document all incoming and outgoing cultures and biopsies into the appropriate log for Nevada
- Perform patch test application and reading
- Calibrate the phototherapy unit
- Authorize or deny any refills on medications that come through the fax or EMR
Work Area Maintenance:
- Keeps a clean and organized work area
Other:
Performs any and all other duties required by the Office Manager and physicians to provide optimal care, including but not limited to:
- Back-up medical assistant for Olga and Caro
- Check inventory on a monthly basis for the sale of products
- Notify manager on any products needed
Job Relationships:
- Reports directly to the Office Manager
- Employment is subject to a 90- day probation
- Must abide by Office Policy Manual
Medical Record Keeping:
- Scan patient information into the EMR
- Compile with the established policies of confidentiality and release of medical records when requested
