Job Summary
We are seeking a dynamic and highly organized Law Office Administrator to oversee the daily operations of our legal practice. Responsibilities
- Manage office operations including scheduling, calendar management, and front desk duties to ensure seamless daily workflow.
- Oversee client communication, including appointment setting, follow-ups, and maintaining excellent customer service standards.
- Supervise administrative staff and coordinate training & development initiatives to enhance team performance.
- Handle vendor management by negotiating contracts, managing relationships, and ensuring timely delivery of office supplies and services.
- Maintain accurate bookkeeping and accounting records using QuickBooks or similar financial software; oversee payroll processing and budgeting activities.
- Organize events such as client meetings, seminars, or community outreach programs to promote the firm’s visibility and engagement.
- Ensure compliance with confidentiality protocols when handling sensitive legal and personal information.
- Utilize Microsoft Office Suite, spreadsheets, and other technical tools to prepare reports, manage files, and streamline office procedures.
- Assist with human resources functions including onboarding new employees, managing personnel records, and supporting employee development initiatives.
- Coordinate office management tasks such as filing systems, multi-line phone systems operation, and maintaining a professional front desk environment.
Qualifications
- Proven experience in office administration within a legal or professional services setting; prior medical office management experience is a plus.
- Strong supervisory skills with demonstrated success in team management and staff training.
- Proficiency in QuickBooks, Microsoft Office (Word, Excel, Outlook), spreadsheets, and accounting software; familiarity with financial software is essential.
- Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Exceptional communication skills—both verbal and written—with a focus on client communication and phone etiquette.
- Experience with event planning, vendor management, budgeting, bookkeeping, payroll processing, and human resources functions.
- Ability to handle confidential information discreetly while maintaining professionalism at all times.
- Technical proficiency in office management tools such as multi-line phone systems and calendar management software.
- Demonstrated clerical experience including filing systems, front desk responsibilities, and multi-tasking across various administrative duties.
