Schedule: Monday – Friday | 8:00 AM – 4:00 PM
Compensation: $18.00 – $20.00 per hour (depending on experience)

Beautiful Life Group is seeking a professional, organized, and customer-service-oriented Administrative Assistant to support the daily operations of Beautiful Life Adult Care.
This position serves as the first point of contact for visitors, clients, families, staff, and vendors and plays a critical role in ensuring smooth front office operations.
The ideal candidate must possess strong communication skills, excellent organizational abilities, professionalism, and the ability to multitask in a fast-paced healthcare and social services environment.
Job Responsibilities
Front Desk & Customer Service Duties
- Greet and assist visitors, clients, families, vendors, and staff in a professional and welcoming manner
- Answer and direct incoming phone calls
- Respond to inquiries regarding services, admissions, scheduling, and general operations
- Receive and route messages to appropriate departments
- Maintain a clean, organized, and professional front desk environment
- Monitor visitor sign-in and facility access procedures
Administrative Duties
- Perform general clerical and administrative support duties
- Maintain filing systems, participant records, and office documentation
- Scan, copy, fax, and organize documents
- Assist with data entry and maintaining accurate records
- Prepare letters, forms, memos, and reports
- Monitor office supply inventory and place orders when needed
- Schedule meetings and assist with calendar coordination
- Support management with special administrative projects
Billing & Office Support Duties
- Assist with billing and invoicing functions
- Verify and organize documentation needed for billing purposes
- Assist with payment tracking and administrative billing support
- Communicate with internal departments regarding billing inquiries
- Maintain confidentiality of financial and participant information
Admissions & Client Support
- Welcome prospective clients and families to the building
- Provide tours or coordinate tours with management
- Answer questions regarding programs and services
- Assist with intake paperwork and administrative onboarding processes
- Coordinate communication between families and departments
Compliance & Confidentiality
- Maintain confidentiality of all participant and company information
- Follow HIPAA and company privacy policies
- Ensure administrative documentation is organized and compliant with company standards
Qualifications
- High school diploma or GED required
- Administrative or front desk experience preferred
- Experience in healthcare, adult day services, home care, or social services preferred
- Strong computer skills including Microsoft Office and email systems
- Excellent verbal and written communication skills
- Strong multitasking and organizational skills
- Professional appearance and customer-service attitude
- Ability to work independently and as part of a team
