TeNeil Hartley Events
TeNeil Hartley Events is a boutique Colorado wedding and event planning company seeking a reliable, detail-oriented On-Site Event Assistant for seven upcoming events during the 2026 season.
This is an event-based position for someone who is comfortable working long days, understands the importance of following detailed plans, and can recognize what needs to be done without requiring constant direction. Our events take place throughout Colorado, including mountain communities, the Denver area, and Colorado Springs.
Required Event Dates
Applicants must be available to work all of the following dates:
- August 16, 2026 — Granby
- August 23, 2026 — Morrison
- September 12, 2026 — Grand Lake
- September 19, 2026 — Granby
- September 26, 2026 — Grand Lake
- October 3, 2026 — Winter Park
- October 24, 2026 — Colorado Springs
Each event will require an approximately 12-hour shift. Exact start and end times will vary by event and may include early mornings, late evenings, weekends, indoor work, and outdoor work in changing Colorado weather conditions.
Position Overview
The On-Site Event Assistant will work alongside the lead planner to help execute each event according to the established floor plan, setup instructions, and timeline.
Detailed pre-event paperwork will be provided approximately two weeks before each event. The assistant is expected to thoroughly review these materials before arriving on-site and come prepared with a working understanding of the event.
This role is best suited to someone who can independently interpret a floor plan, setup notes, and event timeline; identify what needs to happen next; and complete assigned responsibilities without repeated prompting. The assistant must also be receptive to direction, feedback, and changes when additional guidance is needed.
Responsibilities
- Thoroughly review all pre-event paperwork before each event.
- Arrive on time, professionally dressed, and prepared to begin working immediately.
- Follow the event floor plan, setup instructions, diagrams, and timeline accurately.
- Assist with the setup and placement of décor, signage, personal items, tablescape details, and other event elements.
- Help ensure that setup is completed correctly and on schedule.
- Communicate professionally with clients, vendors, venue staff, guests, and members of the wedding party.
- Be available to answer basic questions and direct more complex questions to the lead planner.
- Take initiative, anticipate needs, and recognize the next priority without waiting for constant instruction.
- Assist with guest flow, vendor coordination, timeline execution, and other on-site responsibilities as assigned.
- Help troubleshoot unexpected issues while remaining calm, positive, and solutions-oriented.
- Assist with end-of-event responsibilities and wrap-up as directed by the lead planner.
- Represent TeNeil Hartley Events with professionalism, discretion, and excellent customer service throughout the event.
Required Qualifications
- Availability for all seven required event dates.
- Valid driver’s license, reliable personal transportation, and willingness to travel to each event location.
- Strong attention to detail and the ability to accurately follow written instructions.
- Ability to read and work from floor plans, setup instructions, and detailed timelines.
- Ability to work independently without requiring constant supervision.
- Ability to take direction, accept feedback, and adjust quickly when plans change.
- Dependable, punctual, and committed to completing every scheduled shift.
- Calm, professional, and positive under pressure.
- Comfortable interacting with clients, vendors, venue staff, wedding parties, and guests.
- Ability to prioritize multiple responsibilities in a fast-paced environment.
- Ability to remain on your feet and active for approximately 12 hours.
- Ability to lift and carry at least 25 pounds.
- Comfortable working indoors and outdoors in varying weather conditions.
Preferred Qualifications
Previous experience in weddings, events, hospitality, catering, customer service, or a similar fast-paced service environment is preferred but not required. The right candidate must be dependable, prepared, willing to learn, and able to take initiative.
Compensation and Travel
- Hourly pay: $19-$25 per hour, based on experience.
- Shifts are expected to be approximately 12 hours per event.
- One-way drive time to the event will be paid.
- If the event location is more than one hour from the assistant’s home and the event ends after 9:00 p.m., TeNeil Hartley Events will cover or reimburse one night of lodging.
- Any lodging arrangements must be approved in advance.
- Candidate will be paid as an employee, NOT a contractor.
