Position Summary
The Executive Assistant to the CEO serves as a trusted partner to the Chief Executive Officer, providing administrative, organizational, and strategic support as part of a growing, mission driven and team-oriented organization. This individual manages the CEO's daily operations, ensures effective communication with internal and external stakeholders, coordinates key initiatives, and helps maximize the CEO's effectiveness through exceptional planning, discretion, and attention to detail.
The ideal candidate is proactive, highly organized, adaptable, and capable of handling sensitive information with professionalism and sound judgment.

Key Responsibilities
Executive Support
- Manage the CEO's calendar, scheduling meetings and appointments.
- Prioritize requests and ensure the CEO's time is aligned with organizational priorities.
- Prepare briefing materials and background information for meetings and events.
- Screen calls, correspondence, and requests, determining appropriate responses and follow-up.
- Perform other duties as assigned in support of the Chamber’s mission and operations.
Communication & Correspondence
- Draft, edit, and proofread correspondence, presentations, speeches, and reports on behalf of the CEO.
- Serve as a liaison between the CEO and staff, board members, Chamber members, business leaders, elected officials, and community partners.
- Work with fellow team members to create and deliver marketing messaging to Chamber members, sponsors, board members, business leaders, elected officials, and community partners.
Project Management
- Proactively assist with programs, strategic initiatives and special projects as assigned by the CEO.
- Track project milestones, deadlines, and deliverables.
- Coordinate cross-departmental efforts to ensure timely completion of organizational priorities.
Administrative Operations
- Maintain key documents and organizational records.
- Monitor executive-related budgets.
- Coordinate office logistics related to executive and member activities.
- Manage contact databases and mailing lists, including membership renewal and program participant recruitment processes.
Event & External Relations Support
- Assist with planning executive appearances, speaking engagements, and organizational events.
- Coordinate logistics for meetings with business leaders, community organizations, government officials, and partners.
- Prepare briefing documents and follow-up communications after meetings.
Qualifications
- Bachelor's degree preferred or equivalent combination of education and experience.
- Five or more years of progressively responsible executive administrative support experience.
- Outstanding organizational and time-management skills.
- Excellent written and verbal communication skills.
- Demonstrated ability to manage multiple priorities with attention to detail.
- Ability to exercise sound judgment and discretion.
- Strong interpersonal skills with the ability to build positive relationships across an organization.

Working Relationships
The Executive Assistant reports directly to the Chief Executive Officer and works closely with senior leadership and external partners.
Success in This Role
Success in this position is measured by the ability to anticipate executive needs, keep priorities moving forward, problem solve, foster productive relationships, and ensure the CEO can focus on strategic leadership by confidently managing day-to-day executive operations.
Compensation and Benefits for Part-Time Role:
- Compensation for up to 30 hours per week is hourly and commensurate with experience.
- Eligible for 20 hours of vacation, eligible January 1, 2027, plus six personal time off days annually. The Chamber’s official paid holidays, which often fall on Mondays, are not paid. This position is eligible for the Chamber’s 401(k) match plan after six months of employment.
Compensation and Benefits for Full-Time Role:
- Compensation is hourly and commensurate with experience.
- Vacation Days and PTO Days: 20 days total, eligible January 1, 2027. Prior to that, one (1) each after every full month of service.
- Holidays: Eligible for paid holidays pursuant to Chamber policy.
- Health insurance premium of base plans are covered at 100 percent for employees.
- 401(K) Plan: Automatic enrollment after six months of employment with employer matching program.
- Other Benefits: Term life insurance for $50,000 and AD & D coverage as of start date.
Location of work and hours of work:
This position typically calls for working from the Chamber’s offices in Wayne four days per week, with exceptions. At times, due to special events, there will be working hours that fall outside the typical 9-5 business hours. It also offers flexibility on hours worked to match the winning candidate’s availability.
Pay: $50,000.00 - $70,000.00 per year
