Program Administrator
Position Summary
The Program Administrator provides administrative and operational support to Dragonfly’s direct service programs under the direction of the Program Director. The position assists with maintaining programmatic compliance with Oklahoma Office of the Attorney General certification standards and federal and state grant requirements, while supporting effective service delivery through database oversight, financial coordination, reporting, documentation, and operational systems management
Responsibilities
1. Grant Compliance & Reporting Administration
- Ensure programmatic compliance with federal, state, and private grant requirements including VOCA, VAWA, SASP, TVAP, and other funding sources.
- Prepare and submit required programmatic reports
- Track required program outputs and outcomes.
- Prepare Monthly Financial Reports (MFRs) in coordination with applicable staff.
- Maintain documentation supporting grant monitoring and audits.
2. Financial Coordination & Direct Care Expense Administration
- Enter direct client care expenses into QuickBooks.
- Process vendor invoices related to direct services.
- Move approved invoices to payment workflow.
- Collect vendor W-9 documentation.
- Coordinate payment of approved survivor services
3. Documentation Compliance & Quality Assurance
- Conduct routine case file reviews to ensure compliance with OAG certification standards
- Monitor database input accuracy and completeness.
4. Database Administration
- Maintain integrity of confidential client database.
- Collaborate with Program Director and Direct Services Manager to improve database usability.
- Provide staff training on data entry.
- Monitor required fields and reporting readiness.
- Program Projects in coordination with Volunteer Coordinator
- Collaborates with Admin
- Pull reports for leadership review.
- Support Program Director with data needed for strategic planning.
5. Operational & Hotline Coordination
- Develop and maintain crisis response rotation and hotline coverage schedules.
- Track coverage gaps and coordinate coverage adjustments.
*Compensation will be determined based on qualifications and experience
Pay: $33,000.00 - $35,360.00 per year
