Keystone Financial Group is currently seeking candidates for a full-time Administrative Assistant (40 hours per week).
The ideal candidate will exhibit high standards, excellent communication skills, and have an ability to take initiative and prioritize daily tasks. Candidates must also have prior work experience in financial services (i.e. with a financial advisory or wealth management firm).
The primary responsibility of the position will be focused around supporting our growing team of advisors and staff in creating and maintaining relationships with financial planning leads and clients, with a strong emphasis on customer service follow up and documentation throughout the sales process.
You should be able to thrive in a team-oriented environment and will enjoy having the opportunity to work on a variety of projects. An enthusiastic Administrative Assistant with strong organizational and customer service skills is a perfect fit for our team! You must be an excellent communicator with the ability to take direction, and also possess initiative and critical thinking skills.
Responsibilities:
- Assist our Director of Client Relations with new business and client service paperwork in the areas of life insurance, annuities, and investments
- Assist with sales tracking and client/carrier follow-up throughout the sales process
- Assemble new client files for investments, life insurance, annuities, etc.
- Assist with office management tasks such as ordering supplies, organizing files, etc.
- Assist our Director of Sales & Marketing with processing new leads and entering data into our CRM
- Handle appointment scheduling for 4 advisor calendars
- Assist with confirming meetings as well as workshop & other event reservations
- Assist with workshop prep, setup, and follow-up (some evening hours may be required)
- Provide ad hoc administrative support around the office as needed
Desired Skills & Qualifications:
- Strong interpersonal, customer service and communication skills required
- Ability to multitask
- Proficient in Microsoft Office suite
- Experienced in basic computer & internet usage as well as the use of CRM systems
- Prior customer service experience required (*_Preference will be given to applicants with prior experience in financial services in the areas of client services/new business processing for investments, life insurance, and annuities_*.)
- Organized & detail-oriented – works well with workflow systems to maximize efficiency
- Able to follow directions, but also to think “outside the box” and come up with solutions to problems on-the-fly
- Excellent work ethic
- Enjoys interacting with clients and being part of a fun and energetic team!
Pay: From $50,000.00 per year
