Accounts Payable Specialist
Location: Malvern, PA
Schedule: Monday–Friday | Full-Time | Onsite
Overview
Our client is seeking an experienced Accounts Payable Specialist to join their accounting team. This individual will play a key role in the day-to-day accounts payable process, ensuring invoices are processed accurately and vendors are paid on time. The ideal candidate is detail-oriented, organized, and thrives in a fast-paced environment.
Responsibilities
- Process a high volume of vendor invoices accurately and efficiently
- Review invoices for proper approvals, coding, and supporting documentation
- Match invoices to purchase orders and receiving documentation when applicable
- Prepare and process weekly check runs, ACH, and wire payments
- Reconcile vendor statements and investigate payment discrepancies
- Respond to vendor inquiries and maintain positive vendor relationships
- Set up and maintain vendor records and documentation
- Assist with month-end close activities, including AP reconciliations and accruals
- Ensure compliance with company policies and internal controls
- Support audits by providing requested AP documentation
- Collaborate with internal departments to resolve invoice and payment issues
- Assist with other accounting projects as assigned
Qualifications
- 3+ years of Accounts Payable experience
- Experience processing high-volume invoices
- Strong understanding of invoice matching, coding, and payment processing
- Proficiency in Microsoft Excel
- Experience working within an ERP/accounting system
- Excellent organizational skills and attention to detail
- Strong communication and problem-solving abilities
- Ability to prioritize workload and meet deadlines in a fast-paced environment
Preferred Qualifications
- Manufacturing or distribution industry experience is a plus
- Experience with purchase orders and three-way matching is preferred
