HR & Compliance Coordinator

Pay: $50,000-$60,000 depending on experience

Schedule/Hours: 8 hours per day between open school hours-7:30-5:30

Sunstone Montessori School is seeking an organized, detail-oriented, and people-focused HR & Compliance Coordinator to join our administrative team.
This is a newly created GENERALIST HR role designed to bring together recruitment, onboarding, employee support and relations, credential tracking, and regulatory compliance into one dedicated position. SPHR certification strongly preferred and have mastery in HR generalist practices.
As the HR & Compliance Coordinator, you will play a critical role in ensuring that every employee has the tools, resources, and support needed to thrive while helping the school maintain compliance with state licensing and employment requirements. This position also will manage and support Head of School and Program Director with employee disputes, team dynamics, and conflict resolution.

What You'll Do
Recruitment & Hiring
- Coordinate job postings and recruitment activities
- Manage applicant tracking and hiring logistics
- Schedule interviews and support candidate communications
- Maintain job descriptions, applications, and offer letter templates
- Assist with workforce planning and staffing needs
Onboarding & Employee Experience
- Lead the onboarding process for all new employees
- Coordinate new hire paperwork, benefits enrollment, and system setup
- Support orientation and first-day experiences
- Partner new employees with mentors and support their transition during their first 90 days
- Serve as a resource for employee questions regarding employment, benefits, and HR processes
Compliance & Credential Management
- Track required staff certifications, trainings, and qualifications
- Maintain Oregon Central Background Registry records
- Monitor DELC and OCC licensing requirements and documentation
- Coordinate regulatory reporting and compliance activities
- Maintain accurate training and qualification records for all staff
HR Administration
- Maintain personnel files and employment records
- Assist with leave administration and accommodation processes
- Support workers' compensation reporting
- Track professional development activities
- Help maintain employee handbook and HR policies
- Stay informed on Oregon employment law and compliance requirements
What We're Looking For
Successful candidates will be highly organized, proactive, and comfortable managing multiple projects and deadlines simultaneously. The ideal candidate enjoys both administrative detail work and supporting people.
Preferred qualifications include:
- Experience in Human Resources, Office Administration, Compliance, Education Administration, or a related field
- Strong organizational and recordkeeping skills
- Excellent written and verbal communication abilities
- Ability to maintain confidentiality and exercise sound judgment
- Experience managing multiple priorities independently
- Familiarity with Oregon employment regulations, licensing requirements, or childcare compliance is preferred
Required Qualifications
- Enrollment in the Oregon Central Background Registry (or ability to obtain)
- Current CPR/First Aid certification (or ability to obtain)
- Ability to meet applicable training and credentialing requirements
