Position Summary
The Accounting Assistant Specialist will manage Accounts Receivable (A/R) and Accounts Payable (A/P) and is responsible for managing the organization's incoming and outgoing financial transactions, as well as maintaining accurate and timely financial reports. This role ensures the smooth operation of the company's cash flow, helps maintain strong vendor and customer relationships, and supports management with reliable financial data, and any additional financial duties that may arise in the future.
Key Responsibilities
- Accounts Receivable (A/R):
- Process, verify, and post receipts for goods sold or services rendered.
- Monitor customer accounts for non-payment and delayed payment.
- Prepare and send invoices to customers.
- Follow up with customers regarding outstanding balances.
- Reconcile accounts and resolve discrepancies.
- Maintain accurate records of all receivable transactions.
Accounts Payable (A/P):
- Review and process vendor invoices and payment requests.
- Ensure timely payment of bills and expenses.
- Verify accuracy of invoices and resolve any discrepancies.
- Prepare and process electronic transfers and payments.
- Reconcile vendor statements and maintain up-to-date records.
- Assist with month-end closing activities related to payables.
Reports Maintenance:
- Prepare regular financial reports, including aging summaries for payables.
- Maintain monthly site budgets.
- Ensure accuracy, completeness, and timeliness of all financial reports.
- Maintain organized digital and physical filing systems for financial documentation.
- Assist with audits by providing requested documentation and reports.
- Maintain Labor Hours Report
Required Skills and Qualifications
- Associate or bachelor’s degree in accounting, finance, or related field preferred.
- Experience with QuickBooks accounting software
- Microsoft Office Suite with emphasis on Teams and Excel
- Strong attention to detail and organizational skills
- Effective communication and interpersonal abilities
- Ability to manage confidential information professionally.
- Critical thinking skills and ability to work independently.
Reporting Structure
The A/R and A/P Specialist reports to the Finance Director
Work Environment
This position is office-based, with standard working hours of 24-32 hours per week. Monday through Thursday, non-exempt, hourly

Pay Rate
$22.00 - $26.00 per hour
