Position Overview
The Administrative Assistant is responsible for providing comprehensive administrative and office support to the office personnel and construction crew. This role encompasses a variety of tasks, including answering telephone calls, receiving and directing visitors, interacting with tenants, performing data entry, creating spreadsheets, and handling filing duties.
General Responsibilities
Office Administration
- Answer and direct incoming phone calls.
- Maintain organized filing systems.
- Greet and assist visitors upon arrival.
- Order and manage office supplies.
Property Management Support
- Keep property management software updated with the latest tenant information and payment records.
- Assist with the eviction process as needed.
- Track job progress and maintain records.
- Update contracts for property management customers.
- Revise and update lease agreements as necessary.
- Create and manage work orders for property-related tasks.
- Facilitate the onboarding process for new tenants and properties
Construction Department Support
- Maintain and update the construction department schedule.
- Coordinate with customers to arrange scheduling for construction projects.
- Input receipts and time tracking information into relevant systems.
Preferred Qualifications
- Minimum of two years of office experience.
- Experience in a real estate or property management office is highly desirable.
- Proficiency in Microsoft Office applications.
- Ability to work effectively in a high-stress environment.
- Strong multitasking skills and the ability to manage multiple tasks simultaneously.
