- We are seeking a dedicated and efficient medical receptionist/ scribe to join our team at Vista Dermatology. This role is for an outpatient dermatology clinic. In this role, you will answer phones, register patients, prepare electronic charts, schedule appointments, and manage the front desk and provide administrative support to the physicians of the practice. We are looking for efficient, conscientious, hard workers who enjoy interacting with patients and ensuring a smooth work flow in the day to day clinic.
- Responsibilities:
- Assist with clerical duties to ensure optimal patient experience
- Welcome patients by greeting them in person or on the telephone
- Answer referring inquiries
- Schedule patient appointments and maintain the physician schedules
- Verify insurance eligibility as needed
- Handle calls, messages for prescriptions
- Maintain patient confidentiality
- Preparation and maintenance of clinic waiting area and front desk
- Ensure a warm, professional, and efficient first impression for every patient interaction—whether in person, by phone, or through digital communication
- Use electronic health record (EHR) system to update patient demographics, check appointment history, and manage communications.
- Utilize patient portal and text messaging platforms for appointment reminders, follow-ups, and general communication.
- Ensure accurate and timely communication with referring physicians and their offices.Collect co-pays, balances, and payment at time of service; provide receipts and process billing-related inquiries.
- Other duties as directed by practice physicians or office manager.
- Qualifications
- High school diploma or equivalent required
- Strong proficiency in computer applications, including EMR systems - comfortable learning and using patient communication tools (texting platforms, patient portals)
- Hard working, efficient, collaborative, detail oriented, accurate
- Ability to multitask and effectively prioritize tasks
- Understanding of basic medical terminology or willingness to learn
- Verbal and written English proficiency required
- Professional, friendly, and calm communication style—both in person and by phone
