About the Role
We are looking for a Client Services Administrator to join our operations team. This is a role for someone who has already earned responsibility in a prior position, knows what it means to own their work, and is looking for an environment where they can grow into something greater.
You will be doing meaningful, execution-level work every day alongside a close-knit team — client communication, document processing, onboarding support, project coordination, and general office operations. The work is detail-intensive, client-facing, and high volume. The standard is high and the pace is consistent.
This role comes with a clearly defined path to Senior Client Services Specialist for the right candidate. If you demonstrate mastery of our workflow, strong judgment, and consistent performance, advancement to the Senior level is the expectation.

Responsibilities
Client Services and Communication
- Serve as a primary point of contact for clients via phone and email, responding professionally, accurately, and in a timely manner
- Communicate with clients regarding outstanding documents, required signatures, and upcoming deadlines
- Schedule and coordinate client consultations and meetings with tax and accounting staff
- Manage shared email inboxes and ensure every inquiry is addressed and every response reflects the firm's standards
- Greet clients, guests, and visitors warmly and professionally upon arrival
- Answer and direct incoming phone calls promptly
Document Processing and Workflow
- Receive, review, organize, and process incoming client documents, identifying what has been received, what is missing, and what requires immediate follow-up
- Rename and save all documents accurately into the firm's system in accordance with established procedures so accounting staff can access them without delay
- Anticipate workflow needs based on documents received and proactively flag gaps and issues before they become problems
- Coordinate the full lifecycle of tax return processing from initial document collection through completion
- Support monthly accounting workflows by collecting required monthly statements and financial data
- Print and distribute monthly reports and financial statements to clients via their designated portals
- Handle sensitive and confidential information with absolute discretion
Client Onboarding Support
- Assist with determining what each new client needs based on a defined onboarding checklist by service and business type
- Request and track required documentation and information until fully received
- Assist clients with portal login setup and any firm access credentials they need to create
- Follow up persistently until every onboarding item is complete
Project Coordination and Team Support
- Support active operations projects across the team, ensuring accuracy and timeliness
- Collaborate with team members and escalate issues appropriately to senior staff or the Manager of Operations
- Assist with financial operations tasks as assigned, including invoice processing and payment recording
Office and Administrative Support
- Manage incoming and outgoing mail, deliveries, and courier logistics
- Monitor and maintain office supplies proactively
- Maintain a clean, organized, and professional office environment
- Support the team with general administrative tasks as needed

What We Are Looking For
- Prior experience in a lead, senior, or supervisory capacity where you were responsible for more than just your own tasks
- Background in administrative operations, client services, financial services, legal services, or a comparable precision-driven environment
- Demonstrated ability to manage competing priorities at volume without sacrificing accuracy
- Strong written and verbal communication skills that are professional, clear, and concise
- Sound judgment and a solutions-oriented approach to problems
- Comfortable working within a defined reporting structure while exercising independent judgment within your area of expertise
- Ability to learn new software quickly, including TaxDome, Accounting CS, RingCentral, Adobe, Outlook, and Microsoft Teams
- Dependable, accountable, and a strong team contributor
The Path Forward
This role is intentionally designed as a stepping stone to Senior Client Services Specialist for the right candidate. Advancement is based on demonstrated mastery of our workflow, consistent performance, sound judgment, and readiness to take on greater responsibility. For the right person, the path to Senior is the expectation within six to twelve months.

Pay: $50,000.00 - $55,000.00 per year
