- Manage daily and weekly administrative tasks, including processing sick calls, arranging substitute staff, and maintaining related records.
- Coordinate some student travel arrangements, including flight bookings, and communication with school districts and families.
- Provide comprehensive administrative support to the Residential Director and Assistant Residential Directors.
- Handle financial processes, including creating EREQs for payments, processing invoices, managing petty cash, and tracking reimbursements.
- Procure supplies and manage requisitions for contracts, services, and general office needs.
- Assist with the planning and execution of major school events, such as Family Day, SCASB events, and National Goalball Tournaments.
- Serve as a point of contact for students, parents, and staff, providing information, guidance, and assistance with inquiries.
- Perform general office duties, including digital file management, troubleshooting office equipment, and maintaining supply inventory.
- Support departmental tracking documents and communication related to essential functions of the department.
- Assist with summer school programs, student registrations, start of the year preparations and end-of-year preparations.
- Attend work regularly in accordance with TSBVI leave policy.
- Comply with all agency policies and procedures.
- Perform related work as assigned.
- High school diploma or equivalent.
- At least one year of administrative assistant experience.
- Proficiency in school-management software (e.g., Blackbaud, PowerSchool, Skyward, RenWeb, Aeries)
- Advanced skills in Microsoft Office Suite and/or Google Workspace.
- Excellent verbal and written communication skills with the ability to maintain confidentiality.
- Exceptional organizational skills, attention to detail, and proven ability to coordinate events and manage projects.
- Proactive, resourceful, and adaptable with a demonstrated ability to identify issues and propose solutions.
- Basic understanding of budgetary procedures, including purchasing or expense tracking.
- Comfort with basic office equipment troubleshooting and digital file/cloud storage management.
- Prior experience in a school, college, or university, particularly supporting multiple administrators, teachers, or departments.
- Ability to communicate in languages common within the school’s community (e.g., Spanish).
- Familiarity with school policies (e.g., FERPA, attendance).
- Experience with database management, record-keeping, or student information systems (SIS).
- Proven ability to manage multiple priorities and deadlines in a fast-paced environment.
- Graduated from an accredited four-year college or university.
