Job Title – Part-time Accounts Payablr Specialist
Supervisor: Chief School Financial Officer
FLSA Status: Non-Exempt
JOB GOALS:
- To provide clerical and accounting support to the Business and Finance Department by assisting with accounts payable processing, maintaining financial records, supporting purchasing and vendor functions, ensuring compliance with Alabama public school accounting procedures, and performing other business office duties as assigned.
MINIMUM QUALIFICATIONS:
- Demonstrates support for the school system's mission, vision, goals, and priorities.
- Assists in the receipt, review, and processing of invoices for payment.
- Matches invoices with purchase orders, receiving documentation, and supporting records.
- Reviews invoices for accuracy, approvals, proper account coding, and compliance with Board procedures.
- Enters accounts payable transactions into the NextGen financial software system.
- Assists with maintaining vendor records including W-9 forms, vendor setup documentation, ACH information, and other required records.
- Verifies vendor information and assists in maintaining an accurate vendor database.
- Assists with accounts payable records and financial transactions in accordance with Alabama public school accounting procedures.
- Assists with purchasing card documentation, reconciliation, and record retention.
- Maintains digital and paper filing systems for financial records and supporting documentation.
- Assists in preparing reports, spreadsheets, correspondence, and other documents.
- Responds to inquiries from schools, departments, vendors, and the public regarding accounts payable and business office matters.
- Assists with annual audits, monitoring activities, and requests for financial documentation.
- Maintains confidentiality of financial and personnel information.
- Communicates effectively through telephone, email, and written correspondence.
- Identifies opportunities for improved efficiency and process improvements.
- Provides clerical support to the Business and Finance Department.
- Adheres to Alabama State Department of Education guidelines, Board policies, administrative procedures, and applicable federal, state, and local laws and regulations.
- Performs other job-related duties as assigned by the CSFO or designee.
TERMS OF EMPLOYMENT: Part-time position. This position is considered a temporary, part-time assignment and does not earn continuing service status.
COMPENSATION: Compensation and work schedule to be established by the Board in accordance with approved salary schedules and personnel policies.
EVALUATION: Performance of this position shall be evaluated in accordance with established Board policy and administrative procedures.
