ROLE OVERVIEW and PURPOSE:
The Billing Administrative Assistant provides organizational and clerical support to Neighborhood Healthcare’s Billing Department to maintain effective business office operations. This position involves various functions that ensure phone calls, records, accounts, and payments for services rendered are professionally managed.
**Please note, this is a hybrid position with a typical schedule of 3 remote workdays and 2 in-office workday (Monday through Friday, 8:00 AM – 5:00 PM). Please note that remote work eligibility is based on performance, and on-site requirements may be adjusted accordingly.**
RESPONSIBILITIES
- Assists with preparation and submission of medical claims to insurance companies
- Assists with mail distribution, scanning, and printing of primary and secondary claims
- Assists with the Billing Ticketing Portal
- Reviews and processes all NHC Pace claims, ensuring that all claims meet proper billing guidelines and obtaining authorization
- Monitors and follows up on all PACE claims to ensure payment is received and accurate
- Verifies patient insurance information and eligibility
- Follows up on unpaid or rejected claims and assists in resubmission
- Assists with Dental Transformation Initiative (CalAIM) submission
- Coordinate and schedule department meetings, including preparing agendas and minutes
- Other duties assigned to meet the billing department’s needs
EDUCATION/EXPERIENCE
- High school/GED required
- One year of general clerical experience preferred
- Completion of a medical billing or coding certificate program preferred
- Experience working in healthcare and/or FQHC community clinic is preferred
ADDITIONAL QUALIFICATIONS (Knowledge, Skills, and Abilities)
- Excellent verbal and written communication skills, including superior composition, typing, and proofreading skills
- Ability to interpret a variety of instructions in written, oral, diagram, or schedule form
- Ability to successfully manage multiple tasks simultaneously
- Strong attention to detail and organizational skills
- Comfortable with computers and willing to learn medical billing software
- Ability to work as part of a team as well as independently
- Maintain confidentiality and adhere to HIPAA regulations
Physical Requirements
- Ability to lift/carry 20lbs/weight
- Ability to stand for extended periods of time
COMPLIANCE (Safety & HIPAA)
- Follows all safety procedures as outlined in Neighborhood Healthcare’s Illness and Injury Prevention Plan (IIPP) and report any injuries and/or unsafe conditions immediately
- Maintains current knowledge of policies and procedures as they relate to safe work practices
- Uses appropriate body mechanics to ensure an injury free environment
- Familiarity with location of nearest fire extinguisher and emergency exits
- Follows all infection control procedures including blood-borne pathogen protocols
- Maintains privacy of all patients, employees and volunteer information and access such information only on a need-to-know basis for business purposes
- Complies with all regulations regarding corporate integrity and security obligations
- Reports all behavior and/or activity that are unethical, fraudulent, or unlawful
Pay range: $22.00 - $29.41 per hour, depending on experience
Compensation Disclosure: The posted salary range reflects the designated pay grade for this position. While this range represents the broader classification of the role, actual compensation will be based on several factors, including but not limited to: the candidate’s overall knowledge, skills, and experience, market data and industry benchmarks, internal equity within the organization, Budgetary considerations and organizational needs. As a result, placement within the range is not guaranteed, and the full pay grade range may not be utilized.
