The Operations Manager role provides crucial administrative and physical support to process and ship customer orders and manage the warehouse. Primary duties include conducting data entry for order processing, packing up orders for shipment, receiving incoming calls and making outgoing calls as needed to complete shipments, and counting weekly inventory.
ESSENTIAL DUTIES AND TASKS:
- Accurately enter customer Purchase Orders received in Outlook into QuickBooks.
- Process shipments and invoice responsible party.
- Prepare outgoing shipments for UPS and LTL shipping (boxes weigh up to 35 pounds each).
- Collect documents and file claims to carriers for any damage or shortage in shipment.
- Count and report warehouse inventory on a weekly basis to the Operations Manager. Report inventory adjustments for any discrepancy after thorough checking and investigation.
- Coordinate with other staff to resolve all shipments-related issues.
- Help with all clerical and administrative functions related to sales support.
- Receive, count, and unpack incoming inventory shipments.
WORKING CONDITIONS:
Work is performed partially in an air-conditioned office setting and partially in a climate-controlled warehouse setting. 2,000 SQ FT office and warehouse space are well-ventilated and quiet.
EFFORT:
Must be able to see, walk, hear, and speak. Intermittent sitting, standing, sorting and reaching. Must be able to lift boxes weighing up to 35 pounds each between 0-30 times a day.
MACHINES, TOOLS, EQUIPMENT:
Equipment typically used includes personal computer, scanner, printer, calculator, copier, paper shredder, rolling carts, and a pallet jack. Software used primarily includes Outlook, Excel, UPS WorldShip, and QuickBooks.
MINIMUM QUALIFICATIONS:
High school graduate with one year of office/clerical experience is needed. Experience working in a shipping department is desirable. A combination of education, training, and experience may be substituted when competency in the role is demonstrated.
SPECIALIZED SKILLS AND KNOWLEDGE:
- Ability to perform detailed work with high quality and accuracy
- Proficiency in use of the English language, spelling and grammar
- Computer skills using QuickBooks, Microsoft Office and Outlook on a basic level
- Excellent interpersonal communication skills
