UPMC BHA is seeking an Administrative Assistant Senior to join our team!
Our team provides various services that include outpatient mental health, substance use, service coordination, housing, psych and social rehabilitation and developmental disabilities.
As the Administrative Assistant Senior, you will provide advanced administrative and operational support to department leadership and professional staff. In this role, you will coordinate meetings, conferences, and special events; manage executive calendars; prepare correspondence and departmental communications; and support travel and expense administration.
The ideal candidate is highly organized, detail-oriented, and proficient in Microsoft Office applications, with advanced Excel skills including the ability to create pivot tables, analyze data, and develop graphs and reports. You will be skilled in coordinating complex schedules for multiple leaders, maintaining and organizing contracts and documentation, and managing competing priorities with accuracy and professionalism. Strong communication, problem-solving, and organizational skills are essential for success in this role.

Responsibilities:
Administrative & Executive Support

Provide high-level administrative support to department leadership and professional staff.

Draft and distribute correspondence, meeting minutes, and departmental communications.

Coordinate meetings, conferences, and special events.

Participates in Emergency Management planning and organizing employee engagment activies.
Calendar, Travel & Financial Coordination
-
Manage executive calendars and proactively schedule meetings.

Coordinate travel arrangements, meeting logistics, venues, and catering.

Maintain expense reports and budget-related records.
Reporting & Analysis
-
Prepare reports, presentations, and supporting materials for leadership.

Analyze complex information requests and identify trends to support decision-making.
Process Improvement

Evaluate administrative procedures and workflows.

Recommend and implement improvements to increase operational efficiency.
High school diploma or equivalent.
5 years experience in an increasingly responsible administrative support role.
Ability to perform advanced functions in word processing, electronic mail/calendar, spreadsheet, presentation and database software.
Ability to use applicable MS Suite products.
Advanced knowledge of business processes and procedures.
Working knowledge of accounting and financial principles and functions.
Ability to analyze data.
Ability to use discretion and independent judgment.
