Administrative Assistant
McLeod’s Construction, Paint & Restoration - Fort Myers, FL
The Administrative Assistant provides top-level administrative support to the management members of the company. He/she has responsibilities in a variety of areas supporting the company, acting as an interdepartmental liaison and maintaining a high level of professional representative of McLeod’s. Must be able to handle multiple projects simultaneously.
ESSENTIAL FUNCTIONS:
- Manages calendars of the office staff, including scheduling and coordination of meetings, communicating pertinent information to attendees, creating agendas and taking meeting notes as needed.
- Answers and responds to calls/emails, providing a high level of service, tact and professionalism.
- Composes documents, many of sensitive and confidential nature, including correspondence with clients, meeting notes, reports, proposals, agreements, contracts and expense reports.
- Access and input information in various databases, systems, and programs
- Greets clients and visitors, handles inquiries, communicates with clients and vendors, maintains business relations.
- Organizing meetings and events
- Managing office supplies
- Data entry
- Creating and maintaining files
- Providing administrative support to staff.
Job Requirements
- Demonstrated ability to use discretion and good judgment and maintain a high level of confidentiality and tactfulness.
- Minimum of 5 years directly related experience as an Administrative Assistant.
- Excellent interpersonal and organizational skills.
- Strong verbal and written communication skills
- Ability to work successfully with multiple team members, interacting with employees at all levels of the organization and managing up as needed.
- Demonstrated competence to handle a variety of activities with attention to detail and quality, with the ability to follow through and follow up, and adapt to quickly meet changing deadlines and priorities.
- Advanced proficiency with Microsoft Office Suite applications, including Word, Excel, and Power Point.
- Ability to complete multiple tasks and a high volume of work on short deadlines and follow through on assigned tasks with limited supervision.
- Highly motivated, self-directed, dependable, flexible and punctual, with the ability to work well both independently and as proactive team member.
- Construction experience preferred.
