The Tax Assistant is responsible for supporting the Sales and Use Tax function by ensuring accurate maintenance of exemption certificates, assisting with compliance activities, and supporting various tax-related projects. This role plays a critical part in maintaining audit readiness, reducing tax risk, and ensuring the integrity of tax data within systems such as Avalara CertCapture and ERP platforms. The Tax Assistant will work closely with the Tax Manager and cross-functional teams to support ongoing compliance, process improvements, and special projects. This is a temporary role for 3-6 months. This timeframe may be extended, depending on the scope of the projects. This position directly contributes to the financial health, risk management, and sustainable growth of Avante Health Solutions.

- Log into state and vendor portals monthly to review and download tax notices, letters, and correspondence
- Maintain and manage exemption certificates
- Review customer accounts to ensure valid exemption certificates are properly applied before completing credit memos
- Support Sales and Use Tax compliance activities, including:
- Assisting with credit memo backlog related to sales tax
- Researching and resolving short-paid invoices
- Assist with Secretary of State and business license filings
- Assist in developing and updating training manuals and documentation
- Participate in and support departmental training initiatives
- Assist with data cleanup, process improvements, and special tax-related projects
- Collaborate with internal departments to ensure accuracy of tax-related data
- Maintain organized electronic records in SharePoint and internal systems
- Assist with other month-end or compliance-related activities as needed Perform other duties as assigned
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred
- 1–2 years of experience in Sales and Use Tax and multi-jurisdictional states, accounting, or related field required
- Experience with exemption certificates and sales and use tax compliance processes required
- Experience with tax software such as Avalara CertCapture, AvaTax, or similar systems (Acumatica) preferred
Knowledge/Skills/Abilities
General: Ability to maintain a high level of accuracy and attention to detail. Strong organizational and time management skills with the ability to meet deadlines. Ability to handle confidential information with discretion. Dependable, flexible, and able to work in a team-oriented environment.
Technical: Proficiency in Microsoft Office Suite (Excel, Outlook, Word, Teams). Ability to navigate ERP systems and tax software. Experience with SharePoint or document management systems preferred. Ability to research and interpret basic tax documentation.
Communication: Strong written and verbal communication skills. Ability to communicate effectively with internal teams and external customers. Customer-service mindset with the ability to request and follow up on exemption documentation.
Math & Reasoning: Ability to calculate basic figures and analyze data for discrepancies. Ability to identify issues, gather information, and support resolution of tax-related items.
Physical Demands: Ability to sit continuously for over 3/4 of normal work shift, and stand, walk, and reach with hands and arms for at least 1/4 of the normal work shift. Ability to climb stairs. Ability to talk or hear continuously. Ability to see clearly to do all work-related tasks (clear or corrected vision at 20 inches or less). Finger dexterity is required frequently for over 3/4 of the normal work shift.
Work Environment: Position is typically performed in the office environment with standard equipment and moderate noise levels (examples: computers, printers, fax, copiers, light traffic, and phone); however, will often interact with the production/warehouse environment. Thus, the employee works in a normal office setting and will travel to an open warehouse area where temperatures are subject to outdoor conditions in terms of cold and heat. There is exposure to various tools and equipment as well as forklift operations and corresponding noise levels.
