Asset Preservation Wealth & Tax is seeking an experienced Tax Operations Manager to oversee the operational infrastructure of our Tax Department while supporting day-to-day office operations in our Peoria office.
This role serves as the operational bridge between our Tax and Wealth Management divisions, ensuring departmental workflows, software platforms, CRM processes, communication systems, and compliance procedures work seamlessly within the firm's overall operational framework. The ideal candidate understands both tax operations and financial services environments and can identify opportunities to improve efficiency, scalability, and the client experience through process optimization and technology.
Key Responsibilities:
Tax & Financial Operations
- Ensure tax department workflows align with company-wide operational processes and service standards.
- Partner with Tax, Wealth Management, and Operations leadership to improve cross-departmental efficiency and workflow integration.
- Support operational processes that connect tax planning, financial planning, client service, and internal operations.
- Maintain and optimize CRM workflows, communication platforms, task management systems, and workflow automations.
- Monitor operational performance, identify process gaps, and implement improvements that enhance efficiency and scalability.
- Support software implementations, systems enhancements, and operational technology initiatives.
- Maintain operational controls, documentation, and compliance-related procedures.
- Develop reporting and dashboards to provide visibility into departmental performance and operational metrics.
Office Operations
- Oversee office supplies, snacks, beverages, inventory, and vendor relationships.
- Coordinate office maintenance, HVAC service, repairs, and facility needs.
- Ensure the office remains organized, professional, and operationally efficient.
Qualifications Required
- 5+ years of experience in a tax preparation firm, CPA firm, accounting practice, or tax-focused organization.
- Experience in wealth management, financial planning, RIA, family office, or financial services environments.
- Strong understanding of tax operations, workflow management, and compliance requirements.
- Experience with tax software, CRM systems, workflow automation, and operational technology.
- Proven ability to improve processes and drive operational efficiency.
Preferred
- Understanding of how tax planning integrates with financial planning and wealth management services.
- Experience with platforms such as Filemaker, UltraTax, Lacerte, TaxDome, Redtail, Wealthbox, Salesforce, or similar systems.
- EA, CPA, or practice management experience.
Candidates without prior tax industry experience will not be considered.
Pay: $65,000.00 - $85,000.00 per year
