Responsibilities
- Manage front desk duties including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Handle data/insurance entry, filing, and document proofreading to ensure accuracy and organization
- Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings
- Assist with bookkeeping responsibilities using QuickBooks or similar accounting software
- Provide customer support by addressing inquiries via phone or email promptly and courteously
- Maintain office supplies inventory and ensure the workspace remains tidy and organized
- Support administrative functions like typing correspondence, managing Google Workspace documents, and supporting clerical tasks such as photocopying and scanning
Qualifications
- Proven office experience with strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Excellent computer literacy including data entry, typing speed, and familiarity with office management software like QuickBooks
- Bilingual abilities are a plus to assist diverse clientele effectively
- Prior experience in customer service or as a receptionist (medical or dental receptionist experience is advantageous)
- Strong phone etiquette skills with experience managing multi-line phone systems
- Ability to multitask efficiently while maintaining professionalism under pressure
- Personal assistant or administrative experience preferred but not required; a proactive attitude is essential
