Overview: We are seeking a dedicated and knowledgeable Administrative Training Operations Coordinator to join our team. In this role, you will collaborate with the Executive Director and the Senior Trainings Operations Coordinator, to ensure that logistics are well planned and executed for training participants and host agencies, for both in-person and virtual training events. You will play a critical role in fostering positive relationships with agencies, training participants, scholarship recipients, faculty, and donors.
This role will coordinate in-person training events, oversee the scholarship program, assist volunteers to coordinate travel for in-person training events, and other administrative duties as requested. The ideal candidate will have a strong administrative background, experience providing customer service, experience using a CRM or event management platform and the ability to effectively prioritize tasks and keep work organized in a fast-paced environment. Additionally, candidates will need to be comfortable working independently and maintain consistent communication in a remote environment.
Responsibilities:
- Serve as the primary point of contact for host agencies to plan, schedule, promote, and coordinate Trauma Recovery/HAP trainings.
- Communicate promptly and professionally with agencies, participants, volunteers, and team members.
- Maintain accurate and up-to-date records in the CRM.
- Coordinate all aspects of the Scholarship Program.
- Work with volunteers to coordinate travel for in-person training events.
- Serve as the primary point of contact and system manager for travel management platforms.
- Update all document changes in the LMS that impact training events, the scholarship program, and volunteers.
- Troubleshoot participants and volunteers' technical issues with CRM and LMS systems. Escalate to IT as needed.
- Provide support and guidance to scholarship recipients and training participants throughout their training journey, ensuring they have access to necessary resources.
- Understand and stay current with EMDR Therapy Basic Training process and requirements.
Experience: Strong administrative background with customer service and technology competency.
- Familiarity with CRM or LMS platforms and other software that facilitates online or hybrid training environments.
- Strong administrative background with customer service and data management.
- Logistical experience is preferred.
- Experience working with Microsoft Office, including Word, Excel, and Outlook.
