JOB DESCRIPTION
Old First Reformed United Church of Christ is seeking a dynamic individual for a full-time position (40 hours per week) as Church Administrator. The successful candidate will have experience in church or office administration and excels= in project management and administration
The Administrator will work with the Pastor and lay leaders to further the congregation’s ministry, programming and outreach to the city. The Administrator will support staff and coordinate lay volunteers in achieving the church’s mission and vision.
The church runs multiple ministries and programs with a small staff and many volunteers, so the Administrator position spans many different tasks beyond office work, including running some events, overseeing special projects, set-up for outside groups (even light cleaning) and other often unexpected tasks (as assigned!). It is a front-facing position so that an exceptional ability to deal with the public and a variety of individuals is crucial. Areas of Responsibility:
- Office communications, including phones, mail, email, and website
- Create weekly online newsletters / bulletins / community life slides / flyers using WordPress, Mailchimp, Google Docs, Loop, Powerpoint.
- Maintain the church's records / contacts using its Breeze database.
- Process and track invoices / expenses with Excel and Quickbooks on a weekly, monthly and year-end basis
- Maintain the web-based church calendar, coordinating all events on the church property, through Google calendar
- General property management, including working with contractors; overseeing regular and seasonal cleaning, systems maintenance, organization, set-up and storage and preparing for special events and space usages
- Market / schedule the church’s youth volunteer service camps
- Oversee non-programmatic staff (1-2 people) and small volunteer groups
- General administrative tasks (filing, record-keeping, organizing office space)
- Support governance groups and ministry teams; Administrator’s duties include attending 1 or more monthly evening committee meetings (usually on zoom)
- Supporting the Outreach ministries - ordering supplies, overseeing volunteer signups with SignUpGenius
- Supporting the Pastor in his work
THE RIGHT CANDIDATE WILL
- Have an appropriate educational preparation
- Be comfortable and flexible working with diverse people and changing situations
- Highly organized and able to multi-task
- Exhibit strong attention to detail
- Communicate effectively both verbally and in writing
- Be proficient with or able to learn the apps / programs the church relies on; have deep comfort and fluency learning new technology
- Delegate responsibilities as needed
- Lead volunteers as needed
- Meet deadlines as they arise
- Work regular hours, but with flexibility for evening and weekend work as needed (for which comp time is given within the week its earned)
