Position Overview
As an Administrative Assistant, you should be highly organized, show attention to detail, focus on quality, have high energy, and be flexible in a teamwork-oriented work environment. In this role, you will report to the VP of Clinical Excellence and Patient Care, while also working closely with the Director of Patient Services and other department managers. Occasionally, you will need to represent the manager with professional courtesy and acumen to deliver flawless work output. It is also necessary to adapt procedures, processes, and techniques to complete assignments that align with the department's activities and goals.
Primary responsibilities will include a variety of administrative functions, including:
Payroll & Human Resources Support
- Payroll Processing: Manage bi-weekly payroll for office staff and visiting RNs, ensuring 100% accuracy in weekly timecard verification.
- Leave Management: Diligently track and document all employee leave, including Sick Time, PTO, Holidays, and Prenatal time.
- Clinical Onboarding: Prepare comprehensive RN orientation and training materials; coordinate and schedule field training sessions for new clinical staff.
Operations & Office Management
- Supply Chain Coordination: Maintain optimal inventory levels by monitoring, ordering, and stocking office and departmental supplies.
- Vendor Relations: Serve as the primary point of contact for outside vendors and internal departments to streamline supply deliveries and services.
- Facility Liaison: Greet and direct visitors, candidates, and vendors, acting as the professional "face" of the office.
Reporting & Documentation
- Records Management: Maintain high-integrity filing systems for departmental records, including sensitive patient and nurse documentation.
- Data Analysis: Generate, organize, and analyze diverse reports to support departmental decision-making.
- Professional Correspondence: Draft and prepare high-quality reports, articles, and general correspondence with a focus on professional tone and accuracy.
Communication & Logistics
- Meeting & Event Coordination: Plan and execute office and external events, including managing purchase orders, arranging travel, and coordinating with venues/vendors.
- Calendar Management: Proactively schedule appointments and meetings for individuals and groups; attend sessions to record and distribute precise meeting minutes.
- Inbound/Outbound Communication: Manage a high volume of calls, providing professional message-taking for inbound inquiries and conducting outbound outreach to contract vendors, internal staff, and nursing personnel.
Special Projects
- Administrative Agility: Execute special projects and additional duties as assigned to support evolving departmental needs.
Language Requirements:
- English Chinese Bilingual (Cantonese and/or Mandarin)
Requirements:
- At least one (1) year of customer service, home care, or scheduling experience preferred.
- Strong verbal, written, spoken, and interpersonal skills.
- Proficiency in basic computer and telephone programs
- Microsoft Office: Outlook, Word, Excel
- HHAeXchange
- VOIP phones
- Self-motivated, positive, and reliable work ethic
- Ability to multitask and work well under pressure.
- Ability to travel outside of the office to perform assigned tasks (10-20% of time)
- Legally authorized to work in the United States.

Work schedule:
- Office located in Fresh Meadows, Queens
- Hybrid work model – currently 1 day working from home
- 5 days a week, 8-hour shift from 9 AM – 5 PM
Pay: $20.00 - $24.00 per hour
