Overview
We are seeking a proactive and organized Office Assistant with light bookkeeping experience to join our dynamic team. Responsibilities
- Greet visitors and manage front desk duties with professionalism and friendly demeanor
- Answer multi-line phone systems promptly, directing calls accurately and courteously
- Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
- Perform data entry and record keeping using Microsoft Office and QuickBooks
- Assist with light bookkeeping tasks such as invoicing, expense tracking, and bank reconciliations
- Support office management activities including supply inventory, filing, proofreading documents, and general clerical tasks
- Provide excellent customer support by addressing inquiries via phone or email with clear communication and positive attitude
- Handle administrative responsibilities efficiently using strong organizational skills and time management techniques
Qualifications
- Prior office experience or clerical background demonstrating familiarity with administrative tasks
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Experience with QuickBooks or similar bookkeeping software is highly desirable
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent phone etiquette and customer service skills; bilingual abilities are a plus
- Computer literacy including data entry, proofreading, and document management
- Knowledge of multi-line phone systems and front desk operations
- Personal assistant or office management experience is advantageous but not required
- Ability to type accurately at a good speed while maintaining attention to detail
