Position Overview
As the Director of Operations, you will be the backbone of our business and clinical operations. You will split your time between our office locations, providing real-time leadership, optimizing workflows, managing staff, and ensuring strict clinical compliance. This is a hands-on, high-impact role requiring both strategic planning and daily on-the-ground support.
Key Responsibilities
- Daily Clinical Support & Multi-Site Oversight: Drive between our local clinics to provide hands-on, real-time problem-solving, operational troubleshooting, and leadership to on-site staff.
- HR, Hiring, & Scheduling: Handle the full employee lifecycle, including recruiting, interviewing, onboarding, and training of administrative and clinical staff. Manage master schedules to ensure optimal staffing ratios while controlling labor costs.
- Payroll & Back-End Administration: Manage payroll processing, maintain accurate staff records, and oversee general document and file management across all centers.
- Compliance & Quality Assurance: Maintain full compliance with Urgent Care Association (UCA) standards. Ensure our practices, environments, and records meet or exceed national benchmarks for urgent care accreditation.
- Inventory & Vendor Management: Act as the primary liaison for all medical, IT, and facility vendors. Maintain robust inventory control systems to prevent shortages of essential medical supplies and PPE.
- KPI Implementation & Performance Management: Introduce, track, and analyze operational Key Performance Indicators (KPIs) to measure clinic volume, wait times, patient satisfaction, and financial efficiency.
- Workflow Improvement: Analyze day-to-day patient flow and administrative bottlenecks to design and implement slick, efficient clinical workflows.
Role Requirements (Must-Haves)
- Experience: Proven experience in medical office management (preferably in a multi-site or urgent care setting).
- Education/Credentials: Familiarity with medical compliance, specifically UCA (Urgent Care Association) guidelines.
- Mobility: Must have a reliable vehicle, a valid driver's license, and the ability/willingness to travel daily between our local clinic sites.
- Communication: Must be fully fluent in English with exceptional verbal and written communication skills.
- Health & Wellness Policy: Our organization maintains a strict smoke-free and vape-free work environment. Candidates must be a non-smoker and non-vaper.
- Technical Skills: High proficiency in Electronic Health Record (EHR) systems, MS Office Suite, and payroll/scheduling software.
