Overview
We are seeking an energetic and detail-oriented Part-Time Front Desk & Marketing Coordinator to join our dynamic team on a part-time basis (20 hours per week, Monday–Friday, 9am–1pm). You will be the first point of contact for our clients while also driving our day-to-day marketing activities across social media, email, and online reputation.

What We're Looking For
- Prior office experience or administrative support roles preferred but not required; enthusiasm to learn is essential.
- Strong verbal and written communication skills.
- Familiarity with multi-line phone systems and office equipment is advantageous.
- Comfortable speaking with clients on the phone and in person.
- Bilingual abilities are highly desirable to serve diverse community needs.
- Familiarity with Microsoft Office and social media platforms (Word, Excel, PowerPoint, LinkedIn, Facebook, Instagram, TikTok, etc).
- Basic experience with email marketing tools (Mailchimp, Constant Contact, or similar).
- Experience in clerical tasks such as filing, calendar management, and time management will contribute to success in this role.
- Personal assistant or office management experience is a plus but not mandatory.
- Organized, detail-oriented, and able to manage multiple tasks
- Experience with a CRM system is a plus (we will train the right candidate).
Responsibilities
- Greet visitors warmly, manage check-in procedures, and ensure a positive first impression.
- Operate multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer service skills.
- Handle incoming calls, direct inquiries appropriately, and provide exceptional customer support.
- Manage office supplies, organize files, and maintain accurate records through data entry and filing systems.
- Assist in executing marketing campaigns by updating social media platforms, creating promotional materials, and supporting outreach efforts.
- Maintain calendar schedules, coordinate appointments, and support event planning activities.
- Utilize computer skills including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and QuickBooks for bookkeeping and administrative tasks.
- Proofread marketing content and correspondence to ensure clarity and professionalism.
- Support office management tasks such as bookkeeping, invoicing, and basic clerical duties to ensure smooth daily operations.
- Demonstrate organizational skills by managing multiple priorities efficiently and effectively.
