Job Overview
We are seeking a dynamic and highly organized Office Manager/APAR to oversee daily office tasks. This vital role involves overseeing daily office functions, managing vendor relationships, coordinating schedules, and ensuring smooth communication with subhaulers and clients. Duties
- Handle daily incoming calls from subhaulers and clients
- Manage email communications with subhaulers and clients
- Generate invoices using Quickbooks
- Review invoices for errors and issue corrections as needed
- Process incoming payments and prepare outgoing payments using Quickbooks
- Generate and review statements
- Collections of past due payments
- Utilize Excel to generate reports as needed
- Review daily dispatch
- Process weekly payroll using ADP
- Aid in the hiring process using Indeed
- Maintain office supplies and cleanliness
Qualifications
- Ability to utilize Quickbooks (Required)
- Familiarity with Microsoft Excel, Word and Adobe
- Ability to use Outlook
- Prior experience using ADP is a plus
- General confidence with basic math
- Detail oriented and able to catch errors or mistakes
- Friendly customer service
- Professional email communications
- Knowledge of CA Labor Laws and Payroll Processes
- Knowledge of DOT requirements is a plus
- Spanish speaking is a plus
