Purpose of Position
This position is responsible for coordinating services to participants with disabilities, overseeing participant progress, and ensuring services are delivered according to each participant’s plan. The role involves working collaboratively within a multidisciplinary team, including management personnel, Vocational Rehabilitation (VR) Counselors/QRPs, other VR Coordinators, and Technical Records Specialists. In addition, this role may act as a liaison with educational institutions, employers, public agencies, community partners, and other relevant stakeholders to facilitate participant engagement and success in employment .
Key Responsibilities:
- Coordinate and manage cases of individuals with disabilities throughout the Vocational Rehabilitation (VR) process, ensuring ongoing engagement, timely service delivery, and progress toward employment goals
- Gather, review, document, and maintain information required at each stage of the VR process to support case progression, regulatory compliance, and effective communication among team members
- Assist with development and maintenance of participant plans, including drafting Individualized Plans for Employment (IPEs), plan amendments, and case closure documentation for review and approval by the Vocational Rehabilitation Counselor (VRC)/Qualified Rehabilitation Professional (QRP)
- Monitor participant progress toward vocational, educational, and employment goals, including Measurable Skill Gains (MSGs), and coordinate with participants, Community Rehabilitation Programs (CRPs), training providers, guardians, and team members to address barriers and adjust services as needed
- Track case milestones, service timelines, and program requirements to ensure compliance with federal, state, and agency regulations and to support successful participant outcomes
- Provide participant advocacy, guidance, and logistical support to help individuals navigate educational, employment, and community resources, including pursuing comparable benefits and accessing needed services
- Coordinate service delivery by preparing and submitting authorization requests, obtaining required documentation, verifying services provided, reviewing invoices for accuracy, and facilitating payment processing
- Maintain accurate, complete, and timely case documentation in accordance with agency policies, ADRAN standards, confidentiality requirements, and applicable regulations, including management of Releases of Information (ROIs)
- Collaborate with employers, community partners, service providers, educational institutions, and other stakeholders to expand employment opportunities and support participant success, including providing information regarding reasonable accommodations
- Conduct outreach and relationship-building activities with employers, community agencies, and other external partners to enhance service coordination and employment outcomes
- Deliver and document direct services appropriate to the VR Coordinator role and provide regular updates to the interdisciplinary team regarding participant status and recommended actions
- Follow up with employed participants to ensure service needs have been met and coordinate additional supports as appropriate prior to case closure
- Ensure individuals seeking in-person services are greeted promptly and receive responsive customer service within the VR office
- Maintain current knowledge of vocational rehabilitation practices, labor market trends, disability resources, and relevant regulations through ongoing professional development

- Experience using software tools such as Microsoft Office and other applications, for information tracking, reporting, and managing tasks efficiently.
- Ability and willingness to travel, which may include overnight stays.
The above minimum qualifications are typically gained by one or more of the following:
- At least two (2) years’ work experience in Vocational Rehabilitation, case management, or working with people with disabilities in an educational or community setting, including experience with caseload tracking, and/or coordinating services and resources for individuals with disabilities; or
- Completion of a Bachelor’s degree program in Vocational Rehabilitation, Special Education, Social Work, Psychology or a related field; or
- An associate degree with one (1) year of work experience as described above
This is a classified position in the State of Idaho’s classification system. With prior approval, this position is eligible to accrue compensatory time off for hours worked in excess of forty (40) hours per week.
