We are seeking an experienced Payroll & Project Accounting Specialist to join our growing construction team. The ideal candidate will have extensive knowledge of construction payroll, union and prevailing wage requirements, certified payroll, and project accounting. This position requires exceptional attention to detail, strong organizational skills, and the ability to manage multiple payrolls while ensuring compliance with federal, state, local, and union regulations.
Responsibilities
Payroll
- Process accurate and timely multi-state payroll
- Enter and verify employee timesheets for accuracy
- Prepare journal entries and assist with payroll-related accounting functions
- Calculate federal, state, and local payroll taxes
- Ensure compliance with payroll laws, tax regulations, and reporting requirements
- Maintain and update payroll tax tables
- Set up new employees and maintain employee records
- Update employee information, direct deposit details, and employment status changes (new hires, transfers, and terminations)
Process certified payroll reports for prevailing wage projects
- Utilize LCPtracker, eMars, Elations, and other certified payroll reporting platforms
Union
- Prepare union reports and ensure compliance with union reporting requirements
- Interpret and apply union agreements, master labor agreements, and prevailing wage regulations
- Manage payroll involving multiple trades, including Carpenters, Ironworkers, Laborers, and Operating Engineers
Project Accounting & Administration
- Assist with project accounting and job cost administration
- Support project setup and job setup in the accounting system
- Generate project-specific payroll, labor, and cost reports
- Assist with project documentation and administrative support
- Knowledge of CCIP, OCIP, and UCIP enrollment processes is a plus
Qualifications
- 4–6 years of construction payroll and project accounting experience preferred
- Experience processing complex, multi-state payroll
- Strong knowledge of federal, state, and local payroll tax laws and compliance
- Extensive experience with certified payroll and prevailing wage requirements
- In-depth understanding of union payroll, master labor agreements, and payroll compliance
- Proficiency with Microsoft Office (Word, Excel, Outlook)
- Experience with multiple workers' compensation classifications and reporting
- Experience processing payroll for multiple construction trades
- Experience with Sage 100 Contractor is highly preferred
- Experience with QuickBooks is a plus
- Journal entry and general accounting experience
- Excellent organizational skills, attention to detail, and ability to manage multiple priorities
- Bilingual (English/Spanish) is a plus
