Position Summary
Bethany Community School is seeking a professional, organized, and welcoming Administrative Assistant to support the daily operations of the school office. The Administrative Assistant serves as the first point of contact for students, families, staff, and visitors while providing essential clerical and administrative support to ensure a positive, efficient, and student-centered environment.
Qualifications Required
- High school diploma or equivalent
- Prior experience in an administrative, clerical, or front-office role
- Strong organizational, communication, and technology skills

Preferred
- Associate's or Bachelor's degree in Business, Office Administration, or a related field
- Previous experience in a school or educational setting
Responsibilities
- Serve as the first point of contact for students, families, staff, and visitors; greet and assist professionally
- Answer and route phone calls, emails, and inquiries in a courteous and timely manner
- Maintain front office operations, including visitor sign-in procedures and safety protocols
- Assist with student attendance, tardy logs, and daily office records
- Support school administration with filing, copying, scanning, data entry, and other clerical tasks
- Prepare, distribute, and track school communications, forms, and announcements
- Maintain accurate student and staff records in compliance with confidentiality requirements (FERPA)
- Assist with scheduling meetings, appointments, and school events
- Support enrollment, withdrawal, and records requests as directed
- Order and maintain office supplies and manage inventory
- Assist with substitute coverage coordination and staff sign-in/out procedures
- Monitor office flow to ensure a calm, safe, and organized environment
- Assist students with basic needs, including passes, late arrivals, and early dismissals
- Collaborate with administrators, teachers, and support staff to support daily school operations
- Perform additional duties as assigned

Physical Requirements
This position is primarily a sedentary office role and may require:
- Sitting, standing, and walking throughout the workday
- Frequent use of computers and office equipment
- Typing, filing, reaching, and handling documents
- Occasional lifting and moving of materials up to 20 pounds, with a maximum lifting requirement of 50 pounds
- Effective verbal communication and hearing abilities
- Close visual acuity for computer work, data entry, and document review
