We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you'll manage front desk operations, serve as the first point of contact for visitors and clients, and support office management tasks with efficiency and professionalism. Duties
- Greet visitors, clients, and vendors warmly, ensuring a professional and friendly first impression
- Answer multi-line phone systems promptly, directing calls accurately and courteously
- Manage appointment scheduling and calendar coordination using Microsoft Office and Google Workspace tools
- Handle incoming correspondence, emails, and inquiries with attention to detail and promptness
- Maintain organized filing systems, data entry records, and office supplies inventory
- Support office management tasks such as proofing documents, managing office supplies, and assisting with clerical duties
- Provide exceptional customer support by addressing questions, assisting with basic inquiries, and ensuring a positive experience for all visitors
Requirements
- Proven office management or administrative experience with strong clerical skills
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry skills
- Experience working with multi-line phone systems and phone etiquette standards
- Ability to handle multiple tasks efficiently with strong organizational skills and time management abilities
- Bilingual abilities are highly preferred to serve diverse client needs effectively
- Prior experience as a dental or medical receptionist is a plus; familiarity with appointment scheduling software is advantageous
- Strong attention to detail for proofreading documents, managing calendars, and maintaining accurate records
- Personal assistant or bookkeeping experience is beneficial but not required; willingness to learn new skills is essential
