Position Overview
Twine Event Collection is seeking a highly organized and hands-on Rental Operations & Event Logistics Manager to support the day-to-day coordination of our event rental business. This role focuses on rental bookings, inventory coordination, delivery logistics, staff scheduling, warehouse organization, client communication, and on-site event execution.
The ideal candidate is detail-oriented, proactive, comfortable managing moving parts, and able to balance administrative responsibilities with hands-on event and warehouse work. This position helps ensure that rental orders are accurately prepared, delivered, installed, retrieved, and maintained.
Key Responsibilities
Rental Operations & Administration
- Manage rental orders from initial inquiry through final event completion.
- Communicate with clients, planners, venues, and vendors regarding rental needs, timelines, logistics, and event details.
- Prepare and maintain event schedules, delivery timelines, packing lists, and internal checklists.
- Coordinate box truck rentals, delivery routes, loading plans, and transportation logistics.
- Process rental bookings, invoices, payments, and related administrative records.
- Track staff availability, event assignments, hours, reimbursements, and scheduling needs.
- Identify operational needs related to inventory, warehouse flow, vehicle logistics, and facility organization.
Inventory & Warehouse Management
- Maintain accurate rental inventory records and catalog information.
- Review event item lists to ensure all rental pieces are accounted for before and after events.
- Organize, inspect, clean, and prepare rental items for upcoming events.
- Track missing, damaged, or repair-needed inventory.
- Perform or coordinate basic furniture maintenance, refinishing, touch-ups, and minor repairs.
- Support warehouse organization and storage systems to improve efficiency and reduce loss or damage.
Event Logistics & On-Site Management
- Oversee loading, transport, setup, breakdown, and return of rental inventory.
- Drive or coordinate box truck pickup and delivery as needed.
- Read and interpret layout diagrams, floor plans, and item lists.
- Serve as the on-site lead for rental setup and breakdown.
- Delegate tasks to event staff and ensure team members understand their responsibilities.
- Conduct final walkthroughs to confirm rental setups are complete, polished, and aligned with client expectations.
- Troubleshoot event-day logistics in a calm and professional manner.
- Coordinate with planners, venue staff, vendors, and internal team members during events.
Team Coordination
- Assist with interviewing, onboarding, training, and supervising event staff.
- Schedule team members for warehouse work, deliveries, setups, breakdowns, and event shifts.
- Provide on-the-job training during live events and warehouse operations.
- Communicate expectations clearly and help maintain a professional, reliable team environment.
- Support safe lifting, loading, transport, and handling practices.
Client & Vendor Communication
- Serve as a primary point of contact for rental-related questions and logistics.
- Maintain professional communication with clients, wedding coordinators, venues, and vendor partners.
- Attend meetings, walkthroughs, or tastings as needed to support rental planning.
- Help ensure a smooth and positive client experience from booking through event completion.
Qualifications
- Experience in event rentals, event production, logistics, hospitality, operations, or a related field preferred.
- Strong organizational and time-management skills.
- Ability to manage multiple events, deadlines, and logistical details at once.
- Comfortable working both independently and as part of a team.
- Strong written and verbal communication skills.
- Ability to lead crews during setup, breakdown, loading, and delivery.
- Comfortable using scheduling, invoicing, spreadsheet, or business management software.
- Valid driver’s license required; experience driving box trucks or larger vehicles preferred.
- Ability to work weekends, evenings, late nights, and seasonal event hours as needed.
Physical Requirements
- Ability to lift, carry, load, and move furniture and event rental items.
- Ability to stand, walk, bend, lift, and work on-site for extended periods.
- Comfortable working in warehouse, outdoor, venue, and event environments.
- Ability to safely load and secure rental items for transport.
