About Digital Carpenters
Digital Carpenters is a data center owner-operator and managed services company with a portfolio spanning on-grid and off-grid facilities across Texas. We own and operate our own sites and provide full-service operational management for institutional clients, combining boots-on-the-ground execution with purpose-built software and infrastructure expertise. Our facilities primarily serve Bitcoin mining and high-density compute clients.
We are a lean, technically driven team that holds our operations to a high standard across every site we touch. We are growing across all three segments of our business: owned sites, managed services, and software. This role supports the back-office infrastructure that keeps that growth organized.
The Role
This is a remote administrative and finance role working alongside executive team members. The Coordinator will be responsible for the business operations functions that keep our organization running smoothly: accurate books, timely vendor payments, well-managed procurement, and a consistent onboarding experience for new team members.
The role spans a deliberately broad scope. On any given day, you may be coding bills in QuickBooks, processing payroll in Gusto, coordinating travel, or setting up a new hire across our operational platforms. We are looking for a professional who brings sound judgment and strong organizational habits to varied work, and who relies on AI tools as a core part of their workflow to research, draft, troubleshoot, and operate efficiently across a broad scope without requiring constant direction.
This is a full-time role with a consistent core workload and varied projects around it, well-suited to a self-directed professional. It offers direct exposure to the leadership and operations of a growing data center company.
Responsibilities
Accounts Payable & Receivable
- Process vendor invoices and manage payment runs
- Enter and code bills in QuickBooks Online with correct accounts, projects, and customer tags
- Track receivables and follow up on outstanding balances as needed
- Coordinate with our PEO to maintain organized digital records for all financial documents
Expense & Transaction Management
- Collect, review, and process expense reports and receipts from the field team
- Coordinate with our PEO to categorize all transactions by account, project, and customer in QBO
Payroll
- Run semi-monthly payroll in Gusto for employees and contractors
- Collect and verify timesheets; apply correct pay rates and overtime as applicable
- Manage routine payroll questions and adjustments independently
Vendor & Procurement Management
- Manage vendor accounts and relationships across key suppliers
- Purchase supplies and materials against approved purchase orders
- Track open POs through delivery and close
Onboarding & People Admin
- Set up new hires in Gusto, Google Workspace, Slack, Asana, and relevant operational platforms
- Coordinate with our PEO on benefits enrollment and HR documentation
- Manage the onboarding checklist from offer acceptance through day one
Travel & Events
- Assist with logistics for a small number of industry conferences per year
- Book hotels, flights, and rental vehicles for team travel as needed
General Administration
- Serve as the day-to-day liaison with our PEO
- Maintain organized filing systems for contracts, invoices, and operational documents
- Support the executive team with administrative tasks and ad hoc projects as needed
Requirements
- 3+ years of experience in an operations, finance administration, or office management role
- Proficiency with QuickBooks Online (AP/AR, bill entry, and transaction coding)
- Experience running payroll in Gusto, including contractor pay
- Demonstrated ability to work independently, prioritize effectively, and see tasks through to completion
- Fluency with AI tools (Claude, ChatGPT, etc.), not just familiarity; you actively use AI to research, draft, troubleshoot, and automate your work
- Strong written communication skills; clear, professional, and concise
- Proficient with Google Workspace, Slack, and Asana
- U.S.-based and authorized to work in the United States
Preferred
- Experience working with a Professional Employer Organization (PEO)
- Background supporting field operations, construction, energy, or industrial environments
- Familiarity with multi-entity or multi-site business structures
