Overview:
The Onboarding & People Operations Coordinator owns the new hire experience from offer acceptance through completion of job competency. The role ensures every new BasePoint employee starts strong, stays compliant, and reaches full competency in their role with the right support, documentation, and follow-through.
This is a process-driven, detail-oriented role. The Coordinator runs the onboarding workflow start to finish: pre-employment compliance, background checks, I-9 verification, HRIS data entry, pay setup, NEO preparation, and competency tracking. The role partners with the Chief People Officer on the preparation of employment agreements, Provider Collaborative Agreements, Bonus Specification Documents, and related documentation. The role also serves as the administrative partner to the Chief People Officer, supporting day-to-day operational needs, and as backup facilitator for New Employee Orientation.
Responsibilities:
- Own the end-to-end onboarding process from offer acceptance through New Employee Orientation (NEO) and Day 1 readiness.
- Coordinate all pre-employment requirements, including background checks, drug screens, license verifications, I-9 completion, and role-specific compliance items.
- Partner with the Chief People Officer to prepare employment agreements, Provider Collaborative Agreements, Bonus Specification Documents, and related onboarding materials.
- Serve as the primary point of contact for new hires, providing guidance, answering questions, and ensuring a welcoming onboarding experience.
- Coordinate Day 1 logistics, including workspace setup, system access, clinic arrival details, NEO communications, materials, and serving as backup NEO facilitator as needed.
- Manage background check and I-9 compliance, maintain accurate documentation, monitor completion status, and ensure adherence to federal and state requirements.
- Enter and verify new hire and compensation data in the HRIS to ensure accurate payroll, benefits enrollment, and employee records.
- Track new hire competency completion, conduct 30/60/90-day check-ins, maintain documentation, and escalate delays or concerns.
- Provide administrative support to the Chief People Officer, including calendar management, meeting coordination, reports, presentations, and follow-up tracking while maintaining confidentiality.
- Partner closely with Talent Acquisition, HR, People Operations, managers, and HR Business Partners to ensure a seamless onboarding experience and continuous process improvement.
Experience/Education:
Education
- High school diploma or equivalent required.
- Associate’s or Bachelor’s degree in Human Resources, Business, or related field preferred. Equivalent experience considered.
Experience
- 1+ years of HR administrative, onboarding coordinator, or HR coordinator experience preferred.
- Experience with HRIS data entry preferred (ExponentHR experience a plus).
- Experience coordinating background checks and pre-employment compliance preferred.
- Customer-facing experience supporting employees, candidates, or clients.
- Healthcare or behavioral health experience preferred but not required.
