Job Overview
We are seeking a highly organized and dependable Administrative Assistant to support day-to-day office operations and administrative functions. The ideal candidate will be responsible for managing office supplies, coordinating travel arrangements, scheduling meetings, processing expense reports, and providing general administrative support to leadership and staff.
This role requires strong organizational skills, attention to detail, and proficiency with Microsoft Office applications.
Key Responsibilities
- Manage office supplies and maintain inventory levels
- Order and track office equipment and consumables
- Coordinate domestic and international travel arrangements, including flights, hotels, transportation, and itineraries
- Schedule and coordinate meetings, conference calls, and team events
- Prepare meeting agendas, materials, and meeting logistics as needed
- Submit and track employee expense reports in accordance with company policies
- Maintain calendars and assist with scheduling priorities
- Support visitors and assist with reception-related duties when necessary
- Organize and maintain electronic and physical records
- Assist with document preparation, data entry, and correspondence
- Support special projects and other administrative tasks as assigned
Qualifications
Required
- High school diploma or equivalent
- 2+ years of administrative, office management, or executive support experience
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, and Teams)
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Ability to manage multiple priorities in a fast-paced environment
- Attention to detail and commitment to accuracy
- Professional and customer-service-oriented demeanor
- Ability to quickly adapt to changing priorities
Preferred
- Associate's or Bachelor's degree
- Experience with travel booking and expense management systems
- Experience supporting multiple team members or executives
