About Us
New Heights Dental is an established Alamo Heights/Lincoln Heights area practice of 30 years. We are a patient-focused practice in San Antonio committed to delivering exceptional care through a collaborative, high-performing team. We're looking for an experienced Treatment Plan Coordinator to lead case presentation and treatment acceptance for our practice.
About the Role
We're seeking a high-level Treatment Plan Coordinator to own the patient journey from diagnosis to treatment acceptance. This isn't an entry-level role— we need someone who can confidently present complex treatment plans, handle financial conversations, overcome objections, and consistently drive case acceptance while building genuine trust with patients. You'll work closely with our doctors and hygiene team, and may mentor junior coordinators as the practice grows.
Experience working with a dental consulting company (e.g., ToPS - Total Patient Service Institute, TTI, The Scheduling Institute, Break Away Practice, DEO, or similar) is a plus
Responsibilities
● Present comprehensive treatment plans to patients in a clear, confident, and empathetic manner
● Break down complex clinical recommendations into terms patients understand
● Discuss and structure financial arrangements, including insurance estimates, financing options (CareCredit, Cherry, Sunbit in-house plans), and payment schedules
● Track and follow up on outstanding treatment plans to maximize case acceptance
● Partner with doctors and clinical staff to ensure treatment plans are accurate and prioritized correctly
● Maintain and report on case acceptance metrics and scheduling efficiency
● Handle patient objections and financial concerns with professionalism and discretion
● Train and support front office/coordinator staff on treatment presentation best practices
● Ensure compliance with insurance verification, coding, and documentation standards
Qualifications
● 4+ years of experience as a dental Treatment Coordinator, with a track record of strong case acceptance rates
● Deep understanding of dental terminology, procedures, and insurance/financing processes
● Excellent communication, sales, and relationship-building skills
● Experience with cloud based dental practice management software (CareStack, Curve Dental, Dentrix Ascend or similar)
● Strong organizational skills and comfort managing multiple treatment plans simultaneously
● Leadership or mentorship experience preferred
● High school diploma required; Associates or Bachelor’s Degree a plus.
● Able to treatment plan across a full-service office offering general dentistry, hygiene, clear aligners, oral surgery, periodontics, etc.
● Bilingual in Spanish preferred
