Position Summary
The Administrative Assistant plays a vital role in supporting the daily operations of the SERVPRO® office. This position handles administrative tasks, assists customers and team members, manages documentation, and ensures smooth communication between departments. Key Responsibilities:

Answer incoming phone calls and direct them appropriately

Provide excellent customer service and support throughout the job lifecycle

May create and manage job files in SERVPRO® systems (e.g., DryBook, Xactanalysis)

Assist with scheduling crews and coordinating job assignments

Track job progress and ensure documentation is complete and accurate

Communicate with insurance adjusters and agents as needed

Support billing and collections processes, including invoice preparation and follow-up

Order office supplies and maintain organized administrative systems

Assist with onboarding paperwork and employee file management
-
Perform general office duties including data entry, filing, and mail handling

Other duties as assigned
Qualifications:

2+ year of experience in administrative support or customer service

Strong communication and organizational skills
-
Proficiency in Microsoft Office (Word, Excel, Outlook)

Ability to manage multiple tasks in a fast-paced environment

Professional phone and email etiquette
-
Experience with restoration industry software (e.g., Xactanalysis, DryBook, DASH) a plus

High school diploma or equivalent required
