Overview
We are seeking a dynamic and highly organized Social Quarters Manager/Office professional to oversee the daily operations of our communal social spaces and administrative functions. This role is vital in creating a welcoming environment, managing event planning, supervising staff, and ensuring smooth office operations. Duties
- Plan, coordinate, and execute a variety of social events and activities to promote community engagement within the organization.
- Supervise and train staff responsible for office administration, event support, and customer service functions.
- Manage scheduling for meetings, events, and facility use to optimize space utilization and resource allocation.
- Oversee vendor relationships, including negotiating contracts, managing deliveries, and ensuring quality service delivery.
- Handle all aspects of office management including filing, front desk operations, multi-line phone systems, and calendar management.
- Maintain accurate bookkeeping records using accounting software such as QuickBooks; perform basic accounting tasks including payroll, budgeting, and financial reporting.
- Ensure confidentiality when handling sensitive information related to personnel or organizational data while maintaining high standards of communication and professionalism.
Skills
- Proven experience in event planning with the ability to coordinate multiple activities simultaneously.
- Supervising experience with strong leadership skills to motivate and develop team members.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook) along with advanced spreadsheet skills for budgeting and financial tracking.
- Familiarity with QuickBooks or similar financial software for bookkeeping, payroll processing, and financial reporting.
- Excellent communication skills—both verbal and written—to effectively interact with staff, vendors, clients, and visitors.
- Strong organizational skills with attention to detail in managing schedules, files, and administrative tasks.
- Experience in human resources functions such as onboarding, training & development, and handling confidential information responsibly.
- Ability to manage multiple priorities efficiently while maintaining a professional demeanor in a fast-paced environment.
- Technical proficiency in office equipment including multi-line phone systems and office management tools; experience with medical office management or similar environments is a plus.
