ADMINISTRATIVE ASSISTANT / FRONT OFFICE ASSISTANT (Full-Time)
Village Counseling Center is seeking a full-time Administrative Assistant to join our front office team. This position is an important part of our practice and helps support children, families, clinicians, and daily office operations.
Please note: This is an administrative/front-office position. It is not a CNA, Medical Assistant, Medical Technician, or clinical care position.
About the Position
The Administrative Assistant is often the first point of contact for clients, families, referral sources, and community partners. We are looking for someone who is organized, dependable, professional, and comfortable working in a busy mental health office environment.
The ideal candidate has strong customer service skills, can manage multiple tasks at once, communicates clearly and respectfully, and enjoys being part of a small, supportive team.
Key Responsibilities
Responsibilities include, but are not limited to:
- Greet and assist clients, families, visitors, and referral sources
- Maintain polite, professional communication by phone, email, and in person
- Answer, direct, and document phone calls, emails, and messages
- Support clinical and program staff with administrative needs
- Process, screen, and track referrals
- Upload client referrals, records, and documents into electronic medical/health records
- Schedule and confirm appointments
- Verify funding sources for services and collect payments when applicable
- Maintain accurate records and assist with data entry
- Help organize office documents, supplies, and daily workflow
- Maintain and order office supplies
- Assist with general front office operations
Required qualifications:
- Prior experience working in a front office setting directly with patients, clients, or customers
- Minimum of 2 years of office experience, or a Bachelor’s Degree with at least 1 year of related experience
- Excellent organizational skills
- Strong customer service and communication skills
- Ability to work independently and as part of a small team
- Ability to multitask and manage competing priorities
- Solid computer skills, including Outlook, Word, and Excel
- Experience with Excel functions such as formulas, data entry, charts, and tables preferred
- Strong desire to help children and families
- Ability to pass a background screening due to contact with children and teens
