PRIMARY FUNCTION: The Office Coordinator is responsible for maintaining the basic daily operations of the outpatient office as evidenced by the maintenance of all administrative procedures, the maintenance of the company’s filing and document system processes and procedures, and the maintenance of the company’s cleanliness and organization. In addition, the Office Coordinator is the acting HIPPA Official.
ESSENTIAL DUTIES/ RESPONSIBILITIES include the following:
- Provide exceptional customer-service and maintain an inviting attitude toward incoming patients, stakeholders, visitors, and fellow treatment professionals.
- Liaison for vendors and third party agencies.
- Communicate and implement scheduling needs of vendors or visitors
- Utilization and maintenance of the company’s medical and clinical records.
- Ensure visitors are obtaining appropriate documentation and items.
- Develop and maintain a training process for ancillary staff for front office coverage.
- Ensure incoming calls are answered and routed in a timely manner.
- Assist the Executives and other Leadership with requested administrative tasks.
- Coordinate with the treatment team and Admissions Dept. to complete patient intake paperwork.
- Correspond with third parties regarding client records and requested documents while maintaining full HIPAA compliance.
- Complete office inventory and order supplies regularly
- Maintain Multi Disciplinary document and facilitate meeting
- Coordinates with medical providers to schedule appointments and follows up with appropriate staff to facilitate medication refills as needed
- Collects and processes UAs and BAs in accordance with waived testing procedure
- Email UAs and BAs to legal contacts
- Maintain the office’s daily cleanliness and organization, track completion of tasks by third party vendors and communicate on their performance
- Assist in employee documentation tracking and filing.
- Schedules and tracks UA/BA compliance
- Use problem solving skills to participate in the development and implementation of policies and procedures related to the above tasks (and any unforeseen issues), focusing on addressing any procedural issues within RRRC
OTHER DUTIES:
- Performs other duties as assigned and agreed to.

QUALIFICATIONS:
Position Description To perform this successfully, an individual should have adequate education, experience, and knowledge regarding the nature and treatment of alcoholism and drug addiction. Knowledge of community resources, principles, and techniques of alcoholism, addicts and drug abuse counseling.
EDUCATION and/or EXPERIENCE:
High School Diploma or equivalent or Associate’s Degree, Bachelor’s Degree preferred. Basic computer skills, including the use of Microsoft Office Suite.
PHYSICAL DEMANDS:
The employee is regularly required to sit and talk or hear. The employee is frequently required to stand, use hands to handle paperwork, and reach with hands and arms. Specific vision abilities required by this job include close vision, distance vision, and ability to adjust focus.
WORK ENVIRONMENT:
Open work area; noise level is usually moderate.

CONDITIONS OF EMPLOYMENT:
This employee must be of the conviction that alcoholism and drug addictions are treatable illnesses and constitute a public health problem.
This employee must, on their own behalf, keep current all licensure required to qualify as a Behavioral Health Professional.
- As with all other Red Rock Center employees, the employee in this position shall have no history or evidence of alcoholism or other drug misuse for a period of two (2) years immediately prior to the date of employment, and no misuse of alcohol or other drugs while employed with Red Rock Recovery Center.
Pay: $20.00 - $25.00 per hour
