Under the general direction of the Office Manager, the Medical Receptionist is responsible for managing communications and administrative tasks in a medical office. This role involves greeting and assisting patients, scheduling appointments, and maintaining records and accounts. Strong organizational skills and the ability to communicate medical information clearly and concisely are essential, with a focus on quality assurance. Daily interactions with physicians, surgical schedulers, the Billing Department, hospitals, and patients are a key part of this position.
Essential Duties and Responsibilities
- Greet patients and visitors professionally, both in person and over the phone, promptly addressing inquiries or directing them appropriately.
- Schedule and reschedule appointments as requested by physicians, physician assistants, and nurse practitioners to enhance patient satisfaction, optimize provider efficiency, and ensure effective use of examination and treatment rooms.
- Keep patient appointments on schedule by notifying providers of patient arrivals, reviewing service delivery against the schedule, and alerting providers to service delays.
- Provide comfort and support to patients by anticipating their concerns, answering questions, and maintaining a welcoming reception area.
- Ensure the availability of treatment information by accurately filing and retrieving patient records.
- Maintain patient accounts by collecting, recording, and updating personal and financial information.
- Process payments by updating financial records, recording patient charges, and collecting payments as needed.
- Accurately document patient visits and manage electronic medical records (EMR), including faxing, scanning, and processing incoming and outgoing documents.
- Handle imaging and surgical pre-authorizations.
- Complete medical paperwork, including but not limited to FMLA and disability forms.
- Assist patients by responding to emergencies and addressing their needs.
- Keep the reception area clean, organized, and welcoming.
- Uphold patient confidentiality by safeguarding medical, personal, and financial information.
- Adhere to office policies and procedures, reporting any necessary changes.
- Support the team by contributing to shared goals and completing related tasks as needed.
- Open, sort, and distribute office mail.
- Check patients in and out efficiently.
- Perform other duties as assigned.
Education and Experience:
- High School Diploma or equivalent
- Minimum of 1-year previous experience as a medical receptionist, preferred.
- Basic to intermediate computer skills with EHR Knowledge & Medical Terminology
- Prior experience with Athena
- Customer Service: 1 year (Preferred)
- Strong communication, organization, and follow-through
- Strong organizational skills with attention to detail and accuracy
- Knowledge and compliance of HIPPA standards
This is a full-time position Monday-Friday. Travel required between office locations.
