Job Overview
We are seeking a reliable, detail-oriented Customer Service & Sales Administrator to join our team. In this hybrid role, you will serve as the primary point of contact for customer inquiries while keeping our daily sales operations, order workflows, and inventory tracking running smoothly. The ideal candidate thrives in a fast-paced environment, possesses strong organizational skills, and displays strong proficiency in computer systems and Microsoft Office.
Key Responsibilities
Customer Support & Phone Operations
- Serve as the first point of contact by answering incoming phone calls, addressing customer inquiries, and routing calls to appropriate personnel.
- Resolve order status questions, product inquiries, and customer feedback in a professional and timely manner.
Order Processing & Invoicing
- Accurately enter sales orders received via phone or email into Sage 50 ERP.
- Generate and issue customer invoices, credit memos, and receipts.
- Coordinate with sales reps and customers to verify pricing, payment terms, and delivery schedules.
Inventory Management & Purchasing
- Monitor daily inventory levels and track stock movement to ensure product availability.
- Issue Purchase Orders (POs) to suppliers and vendors, following up to confirm lead times and delivery dates.
- Reconcile discrepancies between physical inventory and system records.
Administrative & Project Support
- Provide general administrative support, including filing, data entry, mail distribution, and office supply upkeep.
- Occasionally assist management with special projects, reporting, research, or process improvements.
Key Skills & Qualifications
- Computer Literacy: Strong proficiency in using business systems, internet applications, and database management.
- Microsoft Office : Intermediate skills in MS Excel (data entry, spreadsheets, basic formulas), MS Word, and Outlook.
- Attention to Detail: High accuracy in data entry, order verification, and financial paperwork (invoicing/POs).
- Communication: Excellent verbal and written communication skills with a professional phone manner.
- Multitasking: Ability to prioritize tasks, meet deadlines, and adapt to shifting daily needs.
Education & Experience
- High school diploma or equivalent required.
- 1–3 years of experience in a combined customer service, sales support, or administrative role.
- Experience with ERP/CRM software or specialized inventory management systems is a plus.
Pay: $22.00 - $26.00 per hour
