We handle the full back office for roughly 35 advisory firms nationwide — bookkeeping, commission accounting, monthly close, forecasting, and CFO-level advisory — supported by our proprietary financial analytics platform, FinSights AI.
About the Role
Our clients' advisors and staff are often paid a percentage of the revenue they produce. That means every commission deposit that hits the bank has to be identified, tied back to the right producer, and converted into an accurate payroll number — on schedule, every cycle.
The Insurance Commission Specialist owns that process across a portfolio of client firms. You'll track incoming deposits, calculate what's owed to each of our clients' employees under their comp arrangements, and hand clean, reconciled payout data to payroll. This is precision work, not collections work — we're not chasing carriers for money, we're making sure the money that comes in is accounted for and paid out correctly.
What You'll Do
- Track and log all commission and revenue deposits for a portfolio of client firms
- Identify what each deposit represents by carrier, product, and producer, calling carriers or FMOs directly when detail is missing or unclear
- Calculate compensation owed to client employees and advisors under revenue-share and percentage-of-production arrangements
- Prepare commission payout schedules and coordinate with payroll to get them processed accurately and on time
- Reconcile deposits and commission activity in QuickBooks Online as part of the monthly close
- Maintain producer, carrier, and comp-plan records so calculations stay accurate as agreements change
- Build and maintain clean Excel schedules that firm owners can actually follow
- Answer questions from client owners and their advisors about how a given payout was calculated
- Spot and resolve discrepancies between deposits, statements, and comp schedules before they reach payroll
- Improve the templates and workflows behind the process as the client base grows
What You Bring
- 2+ years in commission processing, payroll support, agency accounting, or a similar detail-heavy finance role
- Strong Excel skills — pivot tables, lookups, and comfort reconciling large data sets
- Accounting fundamentals: reconciliations, debits and credits, accrual vs. cash
- Exceptional accuracy; you double-check your own work before anyone else sees it
- Comfort picking up the phone to get an answer from a carrier or back office
- Clear written communication and the ability to explain a calculation simply
- Ability to manage multiple client firms and recurring deadlines in a remote environment
Nice to Have
- Familiarity with insurance or annuity commission statements (first-year vs. renewal, trails, overrides)
- QuickBooks Online experience
- Payroll platform experience (Gusto, ADP, Paychex, or similar)
- Experience supporting an RIA, hybrid RIA, or insurance-based retirement planning firm
