Job Summary
We are seeking a proactive, highly organized Assistant Practice Manager to support the daily operations of our high volume, three physician outpatient cardiology clinic, working closely with the Office Manager, billing staff, and clinical staff. This position plays a key role in staff supervision, revenue cycle management, insurance verification, billing oversight, inventory control, and operational efficiency. The ideal candidate will have healthcare management experience and a strong understanding of medical office workflows.
Responsibilities
Staff Management & Scheduling
- Develop and maintain schedules for Medical Assistants (MAs) and other support staff, in collaboration with the Office Manager.
- Assign and monitor weekly duties and responsibilities for MAs.
- Manage staff time-off requests and coordinate coverage to maintain clinic operations.
- Assist with onboarding, training, coaching, and performance management of clinical support staff.
- Foster a positive, collaborative, and patient-focused work environment.
Revenue Cycle & Billing Management
- Monitor and support all aspects of the revenue cycle to ensure timely and accurate reimbursement.
- Oversee insurance eligibility verification processes to ensure accurate patient coverage information prior to appointments.
- Perform billing reconciliation to ensure charges, payments, and adjustments are accurately recorded.
- Work closely with internal billing staff to address outstanding accounts and reimbursement issues.
- Monitor accounts and support collection efforts when appropriate.
- Ensure required referrals and prior authorizations are obtained in a timely manner.
- Assist staff in resolving insurance-related issues and coverage discrepancies.
- Maintain knowledge of payer policies and reimbursement requirements.
- Report directly to Office Manager for status updates and progress reports.
Inventory & Supply Management
- Maintain inventory of medical and office supplies.
- Coordinate ordering and restocking to ensure uninterrupted clinic operations.
- Monitor supply utilization and implement cost-control measures.
- Manage vendor relationships and supply purchasing processes.
Clinic Operations
- Assist with day-to-day clinic operations and workflow optimization.
- Collaborate closely with physicians, practice administrator, and clinical staff to improve efficiency and patient satisfaction.
- Ensure compliance with clinic policies, HIPAA regulations, and payer requirements.
- Prepare operational and financial reports as requested by leadership.
Qualifications
- Associate's or Bachelor's degree in Healthcare Administration, Business Administration, or related field.
- Minimum of 2-3 years of management or supervisory experience in a healthcare environment.
- Experience with medical billing, insurance verification, and revenue cycle processes.
- Strong understanding of medical terminology and outpatient clinic operations.
- Excellent organizational, communication, and problem-solving skills.
- Proficiency with EHR software. Familiarity with eCW preferred.
- Previous experience in cardiology or another medical specialty practice.
- Knowledge of CPT, ICD-10, and insurance billing requirements.
- Experience managing staff schedules and clinic operations.
Pay: $55,000.00 - $66,000.00 per year
