About the Role
We're looking for a highly organized, resourceful Operations Coordinator to be the connective tissue of our team. This is the person who makes everything run — the one who knows what we need before we need it, gets us where we're going without a hitch, and turns a crowded conference floor into a smooth, branded presence we're proud of.
If you're someone who finds deep satisfaction in a well-stocked supply room, a flawlessly booked itinerary, and a vendor invoice that actually reconciles — this role was built for you.
What You'll Do
Procurement & Vendor Management
- Own the company's purchasing process end-to-end: sourcing, ordering, and tracking supplies, equipment, and services
- Build and maintain relationships with vendors to negotiate favorable terms and ensure reliable delivery
- Monitor budgets and maintain accurate purchase records
Travel & Logistics
- Coordinate all business travel — flights, hotels, ground transportation, and itineraries — for team members across the organization
- Anticipate needs, troubleshoot changes, and ensure travelers are set up for success before they leave the building
Office Operations
- Keep the office stocked, functional, and running like clockwork — from kitchen supplies to office equipment to vendor coordination
- Identify gaps before they become problems and take initiative to address them
Conference & Event Coordination
- Manage the administrative and logistical side of conferences and industry events: registration, materials, shipping, booth coordination, and on-site support
- Serve as the operational backbone for our external presence at events throughout the year
General Administrative Support
- Take on a variety of tasks as the team's needs evolve — this role touches nearly every part of the business, and no two weeks look exactly alike
What We're Looking For
- Bachelor’s degree in business
- Exceptional organizational skills and attention to detail — you notice what others miss
- Strong communication and follow-through; people trust you to handle things
- Comfort working with vendors, managing budgets, and tracking purchases
- Ability to juggle multiple priorities and pivot quickly when plans change
- Familiarity with travel booking platforms and expense management tools a plus
- A proactive, ownership-oriented mindset — you don't wait to be asked twice
Why This Role
You'll have real ownership over the systems and processes that keep this team moving. Your work is highly visible — when things run smoothly, everyone notices — and you'll have the latitude to improve and build on what's already in place. This is a role for someone who takes pride in operational excellence and wants to grow within a company that values the people who make the work possible.
