Job OverviewWe are looking for a welcoming, organized, and detail-oriented Medical Receptionist to join our team. As the first point of contact for our patients, you will set the tone for their entire care experience. Your primary role is to manage the patient check-in and check-out processes, accurately handle phone inquiries, and keep our provider schedules running smoothly and efficiently.Key Responsibilities
- Greet patients and visitors enthusiastically upon arrival, answering basic questions and directing traffic.
- Register new patients, update existing demographics, scan IDs, and collect and verify health insurance information.
- Collect co-payments, deductibles, or outstanding balances at the time of service, issue receipts, and balance the daily cash drawer.
- Guide patients through electronic or paper intake forms, ensuring all privacy policies (HIPAA) are signed and understood.
- Answer incoming calls, communicate requests, route clinical questions to the appropriate MA or nurse, and take accurate messages.
- Schedule, reschedule, and cancel patient appointments utilizing our scheduling matrix to minimize provider gaps and maximize daily patient flow
- Conduct reminder calls for upcoming visits and outreach to patients who are due for routine annual physicals.
- Sort, log, and distribute incoming mail, faxes, and delivery packages. Scan outside medical records or consult notes into patient charts.
- Keep the waiting room, reception desk, and entryway clean, organized, and professional throughout the day.

Patients calling in are often stressed, sick, or confused by insurance. Staying calm, empathetic, and organized under pressure is what makes a receptionist truly excellent.Qualifications & Skills
- High school diploma or equivalent (GED).
- Minimum 2 years of experience in customer service required. Front-desk/reception experience preferred
- High comfort level with computers, basic scanning/printing hardware, multi-line phone systems, and standard software like Google Workspace
- Fundamental understanding of patient privacy regulations.(HIPAA)
- Experience using medical software platforms (e.g., Epic, Athenahealth, eClinicalWorks) preferred
- Basic understanding of clinical terms.
Pay: $16.50 - $19.25 per hour
